The accountant will play a critical role in the success and efficacy of the Office Administration and Accounting department. The accountant will be responsible for assisting the Office Administrator with procuring and maintaining financial records, managing Accounts Payable and Accounts Receivable personnel, and verifying that financial records and reports comply with financial regulations and GAAP principles of accounting. This individual will play a pivotal role in supporting our day-to-day operations and contributing to the overall financial health of our organization and will ensure that all bookkeeping and accounting activities are done to the highest quality standards.
Job Duties & Responsibilities:
Internal Auditing of Bookkeeping Method and Reports
- Coordinating with the external accounting team to correct inaccuracies regarding internal Yardi balances with external QuickBooks balances
- Coordinating with the external accounting team to reorganize company ID’s in Yardi Voyager to improve the corporate structure of cash flows and correct inaccuracies in Balance Sheets
- Coordinating with Owner and various property owners to procure requested financial reports and records
- Coordinating with the Office Administrator to ensure the accuracy and efficacy of the Chart of Accounts, and that all company expenses are charged to the correct GL Codes whether or not the correct codes exist
Executive Assistance
- Assisting the Office Administrator in recording day-to-day financial transactions, completing the posting process in Yardi, and maintaining the accuracy of all relevant reports
- Verify that transactions are recorded in the correct day book, suppliers’ ledger, customer ledger, and general ledger
- Bring the books to the trial balance stage
- Enter data, maintain records and create reports and financial statements as needed
- Assist with the management of Accounts Payable and Receivable personnel as needed
- Assist the Office Administrator in the preparation of monthly/yearly closings
Year End Reports Assistance
- Print out all FYE reports for June (i.e. Income Statements, Income Registers and Expenses) for the fiscal year
- Download all reports for FYE June and Calendar Year End and assist the Office Administrator with coordinating the delivery of said reports to external accountants for review
- Assist the Office Administrator with maintaining correspondence with the external accountants for payment of Quarterly Tax Payment (Maintain tracking log for payments due and coordinating with the Administrative Assistant to monitor payments)
- Assist the Office Administrator with reviewing all of the YE Tax Returns prior to presenting to various property Owners for review and processing
- Assist the Office Administrator in coordinating with the external accountants for any questions regarding tax returns
- Process all YE Tax payments and assist the Office Administrator with mailing out returns to the IRS and Florida Department of Revenue.
Reviewing and Processing Tax Returns
- Monitor BOX online to download completed Tax Returns along with financial backup.
- Print out all the documentation provided, set up in the same order as the prior years review.
- Review all of Income and expenses including the interest from investment accounts if applicable.
- Flag sections of the return to identify any discrepancies or notes of interest for Owner.
- Coordinate with the accountant for any questions about the tax returns.
- For consolidated returns input all the current year income and expenses to do a prior year comparison for Owner’s review.
- Process all YE Tax payments and mail out returns to the IRS and Florida Department of Revenue.
- Coordinate the payment of annual payments that will be processed online when Tax Return is uploaded to IRS.
Required Qualifications:
- Bachelor’s or Master's degree in accounting, Finance or a related field
- Minimum of 3 -5 years of working Bookkeeping/Accounting experience in a Commercial Real Estate company or a related field
- Solid understanding of bookkeeping and accounting principles
- Excellent communication and interpersonal skills
- Proficiency in Office 365, Excel, QuickBooks is a must
