ResponsibilitiesCombat Systems Group (KVC) Group Administrator The Johns Hopkins University Applied Physics Laboratory (APL), a national leader in scientific research and development, located midway between Baltimore and Washington, DC., is seeking an Office Administrator for the Combat Systems Group. Job Summary: Provide administrative support for the Combat Systems Group (KVC) of the Force Projection Sector. Duties: 1. Publish KVC deliverables, to include reviewing, proofreading, editing, routing, tracking, and filing of memoranda, reports, letters and presentations for KVC staff. Organize and maintain electronic and hardcopy KVC office files and logs. Maintain KVC SharePoint site. Perform quality assurance checks on correspondence. (20%) 2. Schedule travel arrangements and process travel expense reports for KVC staff. Send and confirm visit requests, and security clearances in support of meetings. Work with security to process contractor/government badge requests for staff. Coordinate the transmittal of classified materials through the Document Control Center (DCC). (20%) 3. Provide administrative and secretarial support to group members. Provide support in the areas of word processing, development and enhancement of presentations, and spreadsheet development and manipulation. Research and serve as the group expert on APL, FPS, and KVC Policies and Procedures (P&P). Administer incoming/outgoing mail and shipments. Arrange IT support for group when needed. Prepare Registration Fee Requests and Professional Society Membership forms. (20%) 4. Assist Group Management with entering new staff requisitions in Taleo, working with HR to schedule interviews, tracking new candidate submissions, and onboarding of new staff members. Assist Group Management by running monthly group planning reports and entering group plans in the Resource & Management Information System (RMIS) and the Management Information Kiosk (MINK). (10%) 5. Inventory, monitor, and order supplies/equipment for the group. Reconcile procurement card reports. Serve as the Property Equipment Management System (PEMS) Property Associate. Handle surplus and location changes of all KVC property. Prepare shipping authorizations and assist with preparation of materials for shipment. Support Sector property management processes and respond to requests for asset information/status. Maintain KVC property inventory to assist tracking of capital. Coordinate office furniture orders and moves. Arrange for office and printer maintenance, as needed. (10%) 6. Seek opportunities to make the group more effective and productive by identifying and implementing new/improved administrative procedures. Communicate with other Group Administrators to share best practices and seek opportunities to implement new or improved administrative procedures in the group. Contribute to group morale by planning and supporting special events. (5%) 7. Maintain group calendar and proxy timecards when needed. Assist staff with reserving conference rooms. Help with organizing and scheduling meetings for both internal and external attendees. Assist with preparation of materials for meetings and training sessions, including copying, binding, and labeling. Provide backup administrative support to fellow branch and program office administrative staff as needed. (5%) 8. Prepare and orient new staff to the group, including arranging for computer, furniture, and telephone as well as setting up initial supplies. Work with line leadership to orchestrate meeting key staff members and provide with new staff orientation materials. (5%) 9. Assist the Group Security Representative with maintenance records and logs for classified facilities and group security training. (5%) **Note: This job summary and listing of duties is for the purpose of describing the position and its essential functions at time of hire and may change over time.**Required Qualifications: * High School diploma or equivalent * Minimum three years of relevant administrative experience * Exceptionally strong verbal/written communication skills and interpersonal skills: must communicate and work effectively with others and must be able to recognize and correct grammar, spelling, punctuation, and logical organization errors * Must have the ability to multi-task, solve problems independently, be detail-oriented and a self-starter * Proficiency in the following PC applications: MS Word, Excel, PowerPoint, Outlook, and Adobe Acrobat Pro * Must be able to work independently and prioritize assignments * Ability to obtain a DoD interim Secret security clearance. Desired Qualifications: * Associates degree * Previous administrative experience within APL and familiarity with JHU/APL staff, sponsors, and programs * Familiarity with APL practices and procedures, including travel, purchasing, security, and budgetary interactions * Proficiency in JHU/APL administrative applications such as Taleo, Enterprise Business Support System (EBSS), Resource & Management Information System (RMIS), Management Information Kiosk (MINK), and the Property Equipment Management System (PEMS) * Active Secret clearance, Special Working Conditions: Occasional irregular working hours may be required to meet KVC emergent needs. Security: Applicants selected will be subject to a Government security investigation and must meet the eligibility requirements for access to classified information up to the Secret level.
