Senior Office Manager
Position Description
The incumbent will provide office manager and administrative support to the Instrumentation and Data Systems Division. This support will include the division head, branch heads, sections heads, and DB13 employees. The incumbent will provide a full range of administrative support duties including planning, coordination, and prioritization of tasks. The incumbent will communicate effectively orally and in writing. The incumbent will represent the Division in all clerical matters both internal and external. The position requires interaction with all levels of management within NAWCWD. The office manager responsibilities include, but are not limited to: screening all incoming telephone calls for proper channeling. As circumstances dictate, handles matters independently, exercising discretion and judgment when responding to requests for information. Uses diplomacy and tact in determining the nature of the call, in announcing the caller, and suggesting a more appropriate time. Composes and reviews incoming correspondence for conformance with current regulatory format, ensuring appropriate content and grammar. Assembles and comply data and materials as needed. Obtains specialized and non-specialized information for use in preparing correspondence, conducting telephone conversations, conferences, and discussions, making decisions, etc. Conducts research of regulations, files and records and/or contacts personnel in other organizational elements to obtain information desired. Maintains records, reports, and files, ensuring the necessary changes, amendments, deletions, and recessions are accurately and timely posted, and material is appropriately distributed.
Makes necessary travel arrangements for travel (foreign and domestic) including appropriate allowances and differentials, notifying organizations and officials to be visited, etc. Assembles and types travel vouchers and reports upon completion of travel and submits items for processing and coordination.
Maintains the Division Head’s calendar to reflect appointments and conferences. Applies knowledge of their priorities, commitments, program goals, and desires in changing appointments and meeting schedules in their absence. Notifies all concerned of the dates, times, and subject matter of the meetings and appointments. Makes necessary arrangements for conferences and staff meetings including space, number of people, projection equipment, and special supplies. Uses desktop computer with assorted software.
