    Position Summary:

    The Academic Program Administrator is responsible for providing efficient and responsive administrative, organizational, and logistical service in support of academic programming in Boston University Study Abroad (BUSA), a division of Global Programs. This includes management of course/program evaluations, assistance with management of course inventory (including tracking new/revised courses), updating curricular information on the BUSA website, and collaborating closely with Enrollment Services staff managing registration and other allied functionality. In addition, the Academic Program Administrator helps the Executive Director to manage and prioritize their time, including through maintaining the Executive Directors calendar, minute-taking, making travel arrangements, managing one-off projects, and communicating with other schools and colleges on campus. The Academic Program Administrator reports to the Executive Director.

    Key Responsibilities:

    • Support all administrative processes related to academic affairs including, but not limited to, coordination of comprehensive program evaluations each semester, reporting from sites on individual course evaluations, tracking of new/revised courses (including through the Hub approval process), preparation of Undergraduate Bulletin copy, auditing and updating curriculum sections of BUSA webpages; participate in curricular review processes for BUSA sites, and communicate directly with BUSA site staff with academic/curriculum responsibilities on course offerings, and ensure information is shared within BUSA (45%)
    • Manage and maintain the Executive Directors calendar. Filter phone calls, highlight urgent correspondence, assist in managing priorities. Schedule on behalf of the Executive Director meetings between BUSA offices, BUSA staff, deans, faculty and administrators from schools and colleges on campus and from other partner schools. Coordinate travel and accommodations for the Executive Director. Take meeting minutes as required and complete research on behalf of the Executive Director. Ensure that meeting logistics are taken care of, including setting up technology for Zoom or other remote meetings and/or visual aids for all staff meetings. Provide logistical support for the annual Study Abroad/Global Programs meetings. (25%)
    • Assistance with frontline student-facing responsibilities, in support of the Enrollment Services team, including in context of major outreach (publicity) events, and guidance on academic choices (20%)
    • Other duties as required, with flexibility and responsiveness essential, including occasional front desk support in both Study Abroad and Global Programs. (10%)

    • Position requires Bachelor's Degree.
    • Two to four years of general administrative experience.
    • Excellent Microsoft Office skills, with SharePoint skills desirable.
    • Strong writing skills are essential, along with organizational and administrative skills and a high level of self-sufficiency.
    • Strong interpersonal skills, professional demeanor and the ability to work as part of a team.
    • Must be able to balance competing priorities.
    • Student-facing experience useful.
    • Ability to set and monitor priorities to meet deadlines, and with ability to champion innovation and act with urgency in service to Boston University's vision and mission.
