The Program Coordinator manages the functions of a graduate social work program including 11 full-time faculty members, 25 adjunct faculty, and a student worker. The primary focus of this position is coordination of program operations, including coordination of course scheduling, admissions process, student records, events, and budget management. Additionally, position facilitates support and establishment of positive rapport (in person and by phone) with students, employees, and others involved and interested in the MSW program.
REQUIRED EDUCATION
REQUIRED EXPERIENCE
- Three to five years administrative experience in a professional setting.
PRIMARY DUTIES/ESSENTIAL FUNCTIONS
- Coordinates course scheduling, book requisitions, and other functions related to course offerings.
- Coordinates in conjunction with the Director of Student Services the admissions process, providing copies of applications for faculty to review; scheduling interviews with student applicants and faculty (sends meeting requests); emails confirmation and directions to each student being interviewed; types and mails acceptance letters to each student admitted; forwards information to Graduate Admissions on acceptance or rejection.
- Coordinates in conjunction with the Program Director and Chair, budget management.
- Coordinates and maintains student records, including advisement files. Manages alumni educational records archival process. Updates Graduation Checklist with grades earned each semester. Copies and files grade changes, independent studies, petitions, etc. Maintains and keeps updated Student Information Lists for each cohort. Updates student contact information. Maintains accurate email distribution lists for each cohort on Outlook. At the beginning of the semester views rosters for each class to make sure that all students are registered for the correct classes. Contacts students by email and phone, as needed, to provide enrollment assistance and troubleshooting.
- Provides support for the department, including coordination with other campus units relevant to necessary research, field, technical, and resource assistance.
- Coordinates MSW program events including new student orientation, information sessions, and graduating/hooding event. This involves comprehensive coordination of each event which includes booking the venue, managing student reservations, interfacing with vendors (e.g. catering services, media/technology services, campus events), preparing sign-in sheets, organizing handouts, and greeting participants/guests.
- Acts as confidential assistant to the program director/department chairperson(s). May coordinate calendars, meetings, appointments, and work related to university councils and committees. May arrange conference/travel plans and handle other assigned tasks relevant to MSW program.
- Prepares for, and attends, monthly program meetings, and maintains minutes.
- Answers, screens, and directs phone calls, and takes student and visitor inquiries.
- Assists Director of Field Education and Field Administrative Assistant with student applications, files, contracts with agencies, maintaining IPT database.
- Responsible to track and maintain contracts/affiliation agreements with agencies in IPT.
- Track field student’s enrollment in correct field and field seminar sections.
- Communicate regularly with students by email, phone and in person.
- Coordinates with the BSW program and other academic programs and departments to facilitate events and activities relevant to the MSW program.
- Performs various administrative functions, including the preparation of course materials, filing, coordination of printing/copying, correspondence, purchase of office supplies, posting syllabi to Task Stream, and possible clerical support regarding faculty research.
- Provide administrative support to MSW faculty, including coordination of ordering textbooks and other publications requested by faculty.
- Support as needed, efforts towards accreditation for Council on Social Work Education accreditation process.
- Provides technical support for MSW student handbook and MSW catalog, including coordination of annual updates.
- Oversees communication and interaction with outside vendors regarding purchases and supply needs.
- Hire and supervise student worker(s)
- Provides program Purchase Requisitions input into Accounts Payable system.
- Performs other duties as assigned by Department Chair and Program Director.
- Regular, punctual attendance as required by the supervisor based on department needs.
SKILLS
- Excellent computer skills and exposure to programs including Microsoft Word, Excel, and Power Point.
- Strong oral and written communication skills, including excellent grammatical, punctuation, and editing skills.
- Ability to word process accurately with speed of approximately 60 words per minute.
- Abilities to communicate effectively in both oral and written forms.
- Strong organizational skills, with ability to managing multiple projects at a time.

COMPENSATION
- Grade 7: $19.49-$25.33/hourly
- Salary will be commensurate with qualifications, experience, and internal equity.
