    Job Description

    Reporting to the Lead, Advancement Services & Operations, and serving as a key member of the Advancement Services & Operations team within the Advancement department, the Associate advances the mission of Success Academy Charter Schools (SA) by contributing to the team’s day-to-day execution of critical Advancement Services and related support functions, including but not limited to: gift administration (gift documentation, data entry and receipting); matching gifts coordination; data entry/database administration (and related exports and reports) ; and executive support for the Chief Advancement Officer (CAO) - all with the goal of supporting increased philanthropic revenues in support of SA’s ambitious goals for operational, programmatic, and capital purposes. The Associate, Advancement Services & Operations, is a proactive, confident self-starter that thrives in a fast-paced, entrepreneurial environment that values results.     ESSENTIAL FUNCTIONS:

    Gift Administration (40%)

    • On a daily basis, accurately enters all philanthropic contributions (including gifts made by check, wire, securities, and credit card, as well as via third-party giving platforms); including strict adherence to internal controls, IRS regulations, and donor intent.

    • Ensures accurate application of pledge payments to existing pledges; attributes soft credit to related entities according to established processes.

    • Prepares and sends timely and error-free charitable gift receipt letters for all gift types according to established processes and procedures within 2 business days of receipt. This includes memorial/honorary gifts and related notifications.

    • Under the direction of the Lead, maintains and regularly updates various templates and other related documentation and standard work.

    • Coordinates with the Donor Communications team regarding timely and accurate CEO and CAO acknowledgements.

    • Ensures accurate and timely uploads of gift details between and among various giving platforms and internal database(s) and reconciles according to established processes and procedures.

    • Coordinates recurring and matching gift entry (and related receipting and acknowledgement processes), including year-end receipting of recurring gifts.

    • Coordinates monthly pledge reminder reporting process for upcoming installments, produces pledge reminder letters 60 days in advance of the installment due date, and liaises donor relationship managers regarding donor communications, follow ups, and receipt of funds.

    • Prepares and distributes a daily gift report to the Advancement team.

    • Liaises with the Advancement team as appropriate to ensure accurate entry of gift information into the database and processing of related documentation (e.g., gift/grant agreements, etc.).

    Data Management (30%)

    • Performs timely and accurate data entry in constituent database (Raiser’s Edge) on a daily basis consistent with established data hygiene protocols, including bulk uploads, as well as one-off updates to biographical data, constituency codes, and more. Executes database queries and exports in support of Advancement team priorities/projects such as fundraising appeals, event invitations, and donor communications.

    • Assists with other database reporting and analysis as requested.

    • Regularly utilizes third-party data services to continuously improve data quality and accuracy performs necessary data updates.

    • Serves as the team’s primary point of contact for constituent record updates; monitors the inbox for records updates.

    • Performs routine batch imports of outreach and moves management.

    Executive Administrative Support (20%)

    • Under the direction of the CAO, coordinates Advancement office operations, including fielding and triaging incoming communications; liaises with and between the CAO and other executives/teams within the organization as needed.

    • Coordinates the CAO's calendar and tasks list, manages travel arrangements, and sets up meetings,

    • Prepares weekly Advancement team meeting agenda, including guests, and coordinates all pre-meeting preparations.

    • Supports Advancement meetings and events, as needed, including occasional evenings.

    Finance & Budgeting (10%)

    • Under the direction of the Lead, liaises with the Finance team to reconcile philanthropic revenue between Advancement and Finance.

    • Assists with documentation requests and provides information for the annual financial audit.

    • Serve as point of contact to the Finance team regarding variances, new pledges, incoming installments; coordinates weekly check deposits.

    • Assists with financial record-keeping, invoicing, reimbursements, contract routing, vendor management, and fundraising reporting.

    ADDITIONAL RESPONSIBILITIES AND OCCASIONAL DUTIES:

    • Other duties may be assigned from time to time. Occasional evening and weekend work required to meet critical deadlines.

    QUALIFICATIONS:

    Education (Minimum Needed and Type of Degree Needed):

    • Minimum Required: Bachelor’s Degree

    Work Experience (Minimum Needed):

    • Minimum Required: 1-3 years of experience processing gifts or similar accounts receivable work, as well as working with Raiser’s Edge or similar CRM database strongly preferred.

    Specialized Knowledge Needed for Performance of Job:

    • Knowledge of fundraising processes and terminology.

    • Understanding of IRS policies of recognizing charitable contributions.

    Skills (e.g. Level of Judgment Required, Ability to Direct, Work Independently, Multi-Task, etc.):

    • Ability to anticipate the needs and expectations of manager and executives.

    • Ability to manage competing priorities and multiple, concurrent tasks, exhibit flexibility, and meet deadlines.

    • Ability to analyze and present data effectively, make decisions, and align efforts with priorities and opportunities.

    • Acts with tact and discretion, respecting confidentiality and proprietary information.

    Special Skills (Technical or Advanced)

    • Proficient with RE NXT or similar CRM systems, MSOffice (and/or Google suite), and Internet required.

    • Demonstrated ability to handle financial information.

    Other (Communication Skills, Mechanical Aptitude, Math Skills, Learning Skills, or Other Specific Skills Required):

    • Superb verbal, written, and interpersonal communication skills.

    • Ability to occasionally work after hours and on weekends.

    Compensation Range

    Annual Salary: $58,500.00 - $65,000.00
