    The College of Engineering Divisions are comprised of two graduate-level academic units, the Division of Materials Science & Engineering and the Division of Systems Engineering. As the Communications Manager, you are a key team member responsible for leading internal and external communications strategies, crafting compelling narratives, storytelling and graphic elements, and for managing regular and special events. You will ensure consistent and effective messaging across all channels, foster engagement in alignment with branding guidelines, vision, values and priorities, monitor and analyze communication metrics to evaluate the effectiveness of communication initiatives and make data-driven recommendations for improvement, and stay up to date on industry trends, best practices, and emerging technologies to continuously enhance communication strategies and tactics. In addition, you are responsible for managing the student employee hiring, scheduling, and weekly payroll approval, supporting purchasing and vendor relations as needed, and travel reimbursement processing.

    The Opportunity and Who You'll Work With:

    • Position Type: Permanent, Full Time, Benefits Eligible
    • Work Format: On-campus for the first three months.
    • Eligible to apply for hybrid schedule with supervisor approval, with a minimum of 3 days on-site with flexibility to work up to 2 days remote.
    • Schedule: Monday Friday. Hours are typically 09:00AM-05:00PM ET.
    • Reports to: Division Director Collaborates with, internally: Graduate Program Manager, MSE Colloquium Series Faculty Chair, Division Heads, and Associate Division Heads Collaborates with, externally:
    • ENG Marketing and Communications, ENG departments (BME, ME, ECE), centers (CISE, CELL-MET, Hariri, Photonics), other academic departments (CAS Physics, Chemistry) and business units (MARCOM, Sourcing, Accounts Payable), others as needed.

    The Division team is responsible for providing support to the MSE and SE Division Heads and Associate Heads, MSE Talks faculty lead, and faculty and students. The team is comprised of three full-time employees, including the Director, Graduate Programs Manager, and the Communications Manager, and a team of student employees who provide general office and communications support. The team leads and supports initiatives across both divisions including operations, student services, and marketing and communications. The primary function of your role will be to develop and deploy the MSE and SE communications strategies, lead event planning and implementation, supervise student employees, and manage assigned financial operations.

    Essential Functions:

    (30%) Marketing and Communications:

    Develop, implement and maintain the MSE and SE communications strategies. Convey division strengths through exceptional writing and storytelling skills, with the ability to capture the division voice and tone effectively, and craft clear, concise, and compelling messages for various audiences, channels, and collateral. Manage the flow of information between Divisions, CISE, CELL-MET, and other centers and units. Manage division web pages, including general content and to publicize events, awards, and other initiatives. Initiate ways to enhance web presence on social media, search engines, related web sites. Manage the CRM and majordomo lists to improve customer experience, retention, efficiency and collaboration. Produce collateral to support graduate student recruitment, electronic and print materials, and branded SWAG.

    (30%) Manage Colloquia, Conference and Special Events:

    Manage the MSE Colloquium Series in collaboration with Committee Chair, faculty, and students, to be held regularly throughout the academic year, as well as major MSE events (Materials Day, sponsored Materials Lecture, and MRS reception). Serve as Division liaison to coordinate events co-sponsored with other units. Direct and manage collection of guest speaker information and scheduling. Initiate, design, publish and direct distribution of advertising both on and off campus as appropriate to publicize colloquia, events, conferences, and generally increase visibility of the divisions, including email campaigns, poster campaigns, brochures, targeted publication ads, etc. Update the slides for the touchscreen monitor in the lobby of 15 St. Mary's Street as needed. Collect seminar information to create a weekly science and engineering seminar email to be sent to all faculty and graduate students in MSE and SE. Initiate and manage online registration as appropriate for conference events. Direct and manage student office assistants in carrying out long-term preparation and logistical details of these events. Develop and manage budget reporting for all of the above.

    (20%) Administrative support. Hire, train, direct, supervise and evaluate student employees and/or temporary employees as needed to support the above initiatives. Provide assistance as needed to Director, Division Heads, Associate Division Heads. Manage purchasing, ISRs, and FSRs, using Ariba and SAP. Manage travel arrangements and reimbursements for guest speakers, and student reimbursements, as needed.

    (15%) Manage Annual Reporting and Hallway Updates:

    Draft, Design, Edit and Publish Annual Reports and MSE and SE Collateral. Develop and coordinate statistical reports as needed, and design for user-friendly presentation. Manage data organization and consolidation. Work with Director, Division Heads, faculty and department administrators to ensure complete, consistent and accurate information is reported. Make decisions as needed for hiring BU services or outsourcing (i.e. photo services, graphic designers, and printers). Direct and manage publication process and distribution for internal and external audiences. Refresh hallway wayfinding, display case, and hallway graphics. Develop and manage budget for the above.

    (5%) Coverage for staff who are out of the office, and special projects as assigned.

    Required Skills

    • B.S./B.A. or equivalent/relevant experience in communications, public relations, or related field.
    • Experience with Microsoft 365 (MS Office, Teams, Planner, OneNote), Adobe CS, WordPress, Canva, Constant Contact or other CRM.
