    Muskegon Community College

    Muskegon Community College is a center for lifelong learning that helps people attain their educational goals by offering programs that respond to individual, community, and global needs. MCC is an associate degree-granting institution of higher education and an applied technology leader for high-tech, hands-on training.

    With nearly a 100-year history of academic excellence, MCC is a public community college accredited by the Higher Learning Commission. With robust student success support, free tutoring, 18 athletic teams, events, clubs, and activities, MCC has an annual, full-time equated student enrollment of approximately 2,300 and an unduplicated headcount of 5,100.

    Most recently, Muskegon Community College outranked all other colleges in Michigan for the rate of students who received federal financial aid and then transferred to continue their education at a four-year institution. The college’s transfer-out rate was the highest in Michigan, 7 percentage points above the state average, and outpaced the average transfer rate across the nation. MCC is nationally recognized for its liberal arts and occupational programs.

    The College has an annual operating budget (general fund) of $44 million and employs about 210 regular full and part-time staff and many adjunct faculty and student assistants. The College also offers 56 Associate degree programs and 29 certificate programs.

    The main campus is located on a 111-acre campus in Muskegon which includes the Hendrik Meijer Library & Information Technology Center, Bartels-Rode Gymnasium, Frauenthal Foundation Fine Arts Center (including the Overbrook Theater and Art Gallery), Stevenson Center for Higher Education, the Science Center, the Health and Wellness Center, and the Art & Music Center.

    Muskegon Community College also operates the Sturrus Technology Center and Fab Lab in downtown Muskegon and extension centers in Ottawa and Newaygo Counties.

The Muskegon Farmer’s Market is the second largest in Michigan. Cruise ships dock in Muskegon, while a high-speed ferry connects the city to Milwaukee. Notable local museums range from rare art collections to an actual World War II submarine and a U.S. Navy ship used during D-Day.

    Status: Full-Time 40 hours/52 weeks

    Salary: $17.54-$19.15/hr depending on experience

    General Description:

    Perform clerical duties and assistance for the departments assigned to maintain a professional, well-organized and friendly environment among the students, faculty/staff, and visitors. Duties include administrative support, receptionist, scheduling, event planning, and other assignments relative to efficient operations of department and/or college. This role will be focused during the academic year with the Arts & Humanities Department and the Center for Teaching & Learning. During the summer, time will also be spent assisting the Student Services areas.

    1. Associate’s degree or 3 years’ administrative support experience with demonstrated excellence in customer service.

    2. Demonstrated ability to relate to people of all ages, races, and social-economic backgrounds.

    3. Ability to mentor, coach and work with student workers/interns while setting a good example by demonstrating professional workplace behavior and work ethics.

    4. Demonstrated ability to operate office technology, software and equipment. Establishing yourself as the “go to” person with all equipment and software.

    5. Ability and willingness to be adaptable, and flexible including upgrading of technology skills or process changes including e-learning systems.

    6. Ability to establish and maintain effective working relationships with students, staff, and outside persons.

    7. Demonstrated ability to create a warm, welcoming environment to students, parents, faculty/staff, colleagues, and community members especially during busy/chaotic times.

    8. Demonstrated use of tact, judgment and discretion, the ability to maintain confidentiality, and follow policy/procedure including but not limited to FERPA.

    9. Ability to stay calm while working under pressure in a fast-paced environment.

    10. Demonstrated problem-solving skills, and ability to resolve customer complaints and reduce customer frustrations.

    11. Demonstrated excellence in both oral and written communication skills, to be demonstrated in various formats including but not limited to in person, online and via phone.

    12. Flexible scheduling to allow for evening and occasional weekend work as scheduled by your supervisor. Willingness to work overtime occasionally.

    13. Requires prolonged sitting or standing, keyboarding and work on computer (hand/eye strain), speaking in English via phone or in person.

    Essential Function:

    1. Serve as a receptionist; answering routine questions via phone or in person and/or route calls to appropriate people, may also provide directions, answer inquiries requiring knowledge of departmental and College operations, activities, and procedures while exercising discretion in providing information.

    2. Prepare correspondence for the department staff and/or others assigned. Including, but not limited to letters, meeting agendas and minutes, performance programs, field trip itinerary, news releases, award certificates, course materials, and other documents.

    3. Perform filing of materials, records and documents as appropriate; organize and maintain paper and virtual files/records in an accessible manner.

    4. Coordinate ticket sales for events; reserve tickets as requested, update and maintain ticketing system, catalog and file for later purchase; receive and record monies from ticket sales making change if necessary; balance cash on hand or otherwise reconcile cash with sales records. Oversee art gallery security and staff theater box office for performances and events including evenings and weekends as needed.

    5. Interview, hire, schedule, train, supervise, and evaluate student workers to assist with the department office operations, and verify and approve their time sheets.

    6. Prepare purchase orders and supply requests for instructional and office materials required by the departments.

    7. Assist the Department Chair in the formation and dissemination of semester class schedules and assignments.

    8. Prepare accurate faculty load sheets for department (Full-time/adjunct) and acquiring appropriate approvals so individuals are compensated appropriately.

    9. Manage departmental schedules on system(s) ensuring all meetings and appointments are accounted for including all student appointments. Provide information to students and College staff concerning faculty office/conference hours.

    10. Make arrangements for meetings, training or other events as requested, providing programming information to College Services offices to assure proper reservation of facilities and services.

    11. Provide programming information to the Marketing & Communication team or others as appropriate to assure proper dissemination of department activities and news to the general public. Coordinate with the Information Technology office mailing lists/label preparation, maintenance and printing, including regular updating. Coordinate with the campus mailroom bulk mailing, checking for proper sizing, labeling, printing and bundling.

    12. When necessary, assist with access and security for visitors to the Overbrook Art Gallery.

    13. Assist faculty in preparing grant applications or other special projects.

    14. Perform other duties as assigned.
