  • Responsibilities

    Events & Conferences is a division of Auxiliary Services responsible for the coordination of University-wide events, room scheduling of University events, management of the summer conference operations, management of a campus arts venue, and the coordination of non-University conferences and events throughout the year. Our mission is to support the academic enterprise of a vibrant research institution by providing comprehensive service and event planning resources at an exceptional value to campus departments and external clients.

    We are seeking an Events Specialist to join our team. Reporting to the Assistant Director of Event Services, this position serves as a primary contact for events and conferences including summer housing programs for University and non-University clients.

    Responsibilities include:

    • Coordinate, arrange and support clients at all stages of event planning and execution
    • Generate proposals, contracts, event diagrams, and invoices
    • Advise clients on event set-ups, menus, budget, timelines and other logistics
    • Establish and maintain collaborative relationships with University and non-University vendors
    • Provide exceptional customer service for new and returning clients to ensure the overall success of each program

    • Bachelor's degree and one to three years of relevant work experience
    • Effective interpersonal, communication, and analytical skills
    • Ability to manage multiple priorities and meet deadlines within a fast-paced environment.
    • Self-starter with the ability to be proactive and follow through on projects independently.
    • Detail oriented with consistently accurate and timely delivery of work.
    • Willing to work evenings and weekends for events, client meetings, or site visits
    • Valid Drivers License and knowledge of Boston University is preferred
