Event Project Manager (Part-Time) - University Advancement

Reporting to the Director of Events, the Event Project Manager will assist in planning, managing, and executing events for University Advancement and the Office of the President. This person helps to present the university's “story” to its various constituencies. This is to be done with the highest degree of excellence, integrity, and ingenuity since this person’s responsibilities reflect the standards of the university.

Primary Duties/Essential Functions
Event Planning and Coordination:
* Plan, organize, and execute Advancement and Alumni events in support of the Director of Events.
Vendor and Contract Management:
* Source and manage relationships with external vendors (caterers, decorators, audio-visual services, etc.), ensuring timely delivery of goods and services.
Logistics Management:
* Coordinate event logistics including venue selection, room setup, catering, audio-visual needs, transportation, and any necessary permits.
Communication and Marketing:
* Coordinate with the division’s communications team to ensure appropriate messaging.
Event Execution:
* Oversee event setup and breakdown, ensuring that events run smoothly from start to finish.
Post-Event Analysis:
* Supply division administrators with all applicable invoices and summarized actual expenses for accurate record keeping.
Additional Responsibilities:
* Required hours will shift to accommodate scheduled special events to include occasional weekends and extended evening hours.
