Ever focused on the student experience, the Envision Presidential Inauguration Leadership Summit (PILS) Versatile Coordinator is responsible for the planning and implementation of our world-class summit program.
He/she will work with our vendors to ensure all program needs are met (or exceeded), as well as work internally with the Senior Directors and Vice President, Program Operations to manage the academic, logistical, and customer service program components respectively for this prestigious program. Versatile Coordinators report directly to an assigned Program/Senior Manager.
Required to stay overnight onsite at designated venue from 1/15/17 – 1/22/17 and be "on call"/available 24/7.
Housing not provided from approximate start date (7/15/16) through 1/15/17.
PRE-PROGRAM EXPECTATIONS:
Logistical Guru:
- Focus on venue needs prior to the start of the program including the confirmation of meals, meeting space, AV requirement and bus needs (That's a lot of moving parts to juggle- attention to detail is a must in this role!)
- Develop bus schedule in consultation with program manager and submit bus schedule to vendor
- Assist with developing assigned training segments (Someone has to teach the teachers!)
- Review final program schedules and create day by day checklists for both academic and logistic elements (Develop a 'B' plan, and a 'C' plan..and a 'D' plan)
- Create and submit signed payroll templates to Program Manager to ensure our staff stays funded and happy
- Coordinate rooming lists (students and staff) with venue (pre-arrival day additions/departures)
- Reconcile any changes to housing on arrival days
- Oversee the collection and organization of onsite paperwork
- Synthesize and submit Info Pack in conjunction with other members of the Senior Leadership Team
- Update and submit curricular print order in conjunction with Program Operations Team
- Smile: Liaise with parents prior to conference with continuous dedication to customer service
High Roller Responsibilities:
- Oversee petty cash distribution, reconciliation, tracking, and collection.
- Coordinate payment of staff per diem/stipend
The Great Communicator:
- Be the eyes and ears onsite- coordinate and submit Nightly Report in conjunction with other members of the Senior Leadership Team
- Handle the hard stuff- assist in coordinating paperwork for staff dismissal through communication with PM and HR as needed.
- Submit necessary documents for Program Operations team in relation to upcoming sessions in accordance with prescribed deadlines
- Maintain emergency number and 24 hour availability during program session
- Update Certain communication tracker with parent and scholar interactions
- Packhorse- Carry all required crisis emergency materials
- Do the right thing- follow Envision policies and procedures and ALWAYS ensure the safety of students at all times.
INAUGURATION JANUARY 2017:
In the Limelight:
- Focuses on day to day venue needs including the confirmation of meals, meeting spaces, AV requirements and buses in advance (timeline based on requirements of the site/vendor)
- Liaise with the bus company Primary point of contact for all onsite logistics contacts (Hotel, Banquets, A/V coordinator, etc)
- Ensure proper setup/breakdown of A/V, plenary and meeting room setup (speaker, closing celebration, etc.)
- Coordinate the arrival and storage of program materials
- Liaise with Program Manager in relation to any decisions with a budgetary implications
You're In Charge:
- Supervise the inventorying of program materials and paperwork (pre-distribution)
- Supervise the distribution of all program materials
- Ensure proper distribution, collection/accounting of logistical paperwork (driver logs, medical incident forms, bus boarding logs, etc.)
- Track payroll hours and staffing levels and submit to Program Coordinator
- Ensure all needs for special guests are met (i.e. parking passes, audio visual) in conjunction with Program Coordinator
- Supervise room check and posting assignments
- Maintain emergency telephone number and 24-hour availability at all times while Program is in session
- Meet with senior leadership team daily and provide notes to manager in conjunction with Education Coordinator
- Liaise with speakers per plenary policy
