    Job Description

    Summary of Position

    The Program Coordinator will serve as the primary support person for initiatives within the Center for Adult and Continuing Education (CACE). They will be responsible for managing some programs, organizing logistics for continuing education, and supporting the operations of the programs held in Rochester. In addition, the Program Coordinator will work closely with the Advanced Placement Summer Institute (APSI), directed by the Executive Director for CACE, and will be responsible for managing continuing education registrations, coordinating email and social media marketing, and organizing event logistics. They will also collaborate with staff from the Center for Global Education & Experience (CGEE) to help with both sustaining and one-time projects.

    Primary Responsibilities

    • Process registrations in event management software.
    • Maintain and update APSI website, registration process, and consultant information in Cvent (event management software).
    • Create and send out certificates of attendance after each course/event/workshop.
    • Manage new program implementation through a structured process.
    • Coordinate contracting and onboarding of instructors for Continuing Education (CE).
    • Coordinate Learning Management System (LMS) and provide access as needed for both instructors and participants.
    • Provide sales and marketing support for CACE programs.
    • Coordinate the APSI that is hosted at Augsburg University each summer, including working closely with the APSI Director to run event logistics in a fast-paced environment.
    • Create and manage web/email content related to CACE.
    • Create and promote all CACE events through social media and email campaigns.
    • Track communication campaign efforts by event and connect back to registration counts.
    • Coordinate and support site events.
    • Collaborate with the Center for Global Education & Experience (CGEE) staff on projects relating to, but not limited to, student visas, serving as a conduit between the student and the health insurance claims process, and survey management.
    • Build effective relationships with consultants and staff both locally and remotely.
    • Work collaboratively with all stakeholders to ensure success, equitable access, and active engagement with participants.

    Additional Responsibilities

    • Maintain a database of participants for marketing opportunities.
    • Collaborate with enrollment to share lists of continuing education participants who could be prospective graduate students.
    • Coordinate offline payments by communicating with school district administrators and collecting checks in Minneapolis.
    • Respond to emails for general email accounts.
    • Other duties as apparent or assigned by supervisor(s).

    Work Environment and Physical Demands

    • This position will work primarily remotely.
    • Typical office environment. Sedentary work for long periods of time.
    • Regular computer and phone use.
    • Maintain a flexible schedule to meet the needs of students, consultants, and event participants. Some work is required over evenings and weekends.
    • Able to travel to Rochester and Minneapolis location when necessary, including presenting for events and operations.

    Minimum Qualifications

    • At least two (2) years of post-secondary education (e.g. Associate's degree).
    • Three (3) years of related professional experience.
    • Intermediate experience using databases such as Excel, Google Sheets, etc.
    • Proven ability to work effectively in a team environment and independently.
    • Detail-oriented.

    Preferred Qualifications

    • Bachelor’s degree.
    • Professional experience working in higher education or continuing education.
    • Experience with survey design and analysis - preferably in Qualtrics.
    • Experience with marketing and/or graphic design.
    • Experience leading and developing social media campaigns to promote business, events, participation, or similar activities.
    • Demonstrated working knowledge of intercultural competency and pursuit of continual development in the area of intercultural competency.
    • Experience with WordPress.
    • Experience with event management software (preference given to Cvent).
    • Experience with data management.

    Knowledge, Skills, Abilities

    • Ability to show initiative through self-motivation to organize workflow, and manage multiple projects at the same time.
    • Ability to work independently with little supervision while functioning effectively as part of a team.
