    The Program Coordinator reports to and supports the Department Chair in facilitating the day-to-day operations of the department. The Program Coordinator serves as a representative of Azusa Pacific University, creating a welcoming and professional environment for faculty and students in the department. The Program Coordinator provides administrative services to the department chair, full-time faculty, and adjunct faculty. The Program Coordinator also communicates and coordinates the department programs, records, and events with other University offices under the direction of the department chair.

    Required Education

    • Bachelor's degree.

    Required Experience

    • Three to five years of administrative experience is required.

    Primary Duties/Essential Functions

    • Acts as confidential assistant to the chair. Coordinate calendar and meetings.
    • Attend meetings; prepare and distribute minutes.
    • Provide administrative support to faculty, including liaison support for organizations and events.
    • Assist with student forms.
    • Assist the department chair in course scheduling for full-time and adjunct faculty and interface with the registrar’s office for Fall, Spring, and Summer classes.
    • Assist in submission of final course schedule registrar’s /dean’s offices by assigned deadline.
    • Assist in adjunct faculty hiring process and preparation of contracts.
    • Process all Professional Services contracts.
    • Assign academic advisers/faculty mentors to students.
    • Coordinate and facilitate the mid-semester academic advising process
    • Maintain up-to-date files for majors and minors.
    • Prepare overload and workload forms for faculty.
    • Collect and maintain data for all degree programs for all semesters.
    • Collect, maintain, and input syllabi and other documents required for program review.
    • Coordinate hiring and training of student workers. Supervise these workers to provide excellent support to the department.
    • Coordinate, facilitate, and implement department events such as professional conferences, graduation receptions, senior banquets, recruiter visits, etc.
    • Coordinate updates of the website and university catalog.
    • Coordinate communication of department events with faculty, students, and alumni.
    • Maintain day-to-day office operations, including ordering and maintenance of office supplies.
    • Be responsible for daily electronic timekeeping as it applies to the scope of this position.
    • Practice regular, punctual attendance as required by the supervisor based on department needs.
    • Perform other administrative support duties assigned by the department chair.
    • Oversee communications with prospective students and families, and support admissions efforts.
    • Assist with academic clubs, and maintain updated records and club manual.
    • Assist with ABET accreditation efforts.
    • Oversee department emails and communications.
    • Oversee Office Interns to assist with department goals.
    • Assist in adjunct faculty hiring process and preparation of contracts.
    • Prepare overload and workload forms for faculty.
    • Collect and archive syllabi.
    • Coordinate student and faculty events (recruitment, welcome events, Christmas events, graduation receptions, department meetings).
    • Oversee support for CEMPS Fellowship.
    • Liaise with the Tutoring Center, UASC, and other departments.
    • Audit math classes and prerequisites.
    • Assist the program coordinator for the MS in Applied Statistics and Data Science, including publicity, recruiting events, admissions, and other duties as assigned.

    Physical Demands

    • Able to conduct business at other offices on campus.
    • Able to lift, bend, grasp, reach, lift up to 20 lbs. occasionally.

    • Reading, writing notes, and computer monitor.

    Technologies

    • Proficient in Google Apps, Zoom, Canva, Mailchimp, and social media.
    • Website Maintenance and database management skills.

    Compensation

    • Grade 7: $19.49 to $22.41 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
