The Program Coordinator reports to and provides support to the Department Chair and MSW Program Director. The MSW Program support includes managing the functions of the graduate social work program including 10 full-time faculty, 25 adjunct faculty members, and student workers. The primary focus of the MSW support position is coordination of academic and program operations, including director/faculty support, maintenance of student records, student association support, events, and budget management. The Coordinator also facilitates support and establishment of positive rapport with students, employees and partners and guests of the Department and MSW program.
The position also reports to and supports the Chair of the Department of Social Work, acting as the confidential assistant. Responsibilities include providing administrative support, managing social work alumni relations, organizing events, and assisting with accreditation, budget, faculty hiring, and communicating across campus and administration, and with local and community contacts.
Required Education
- Bachelor's degree or equivalent experience required; master’s preferred.
Required Experience
- Three to five years of administrative experience in an educational or business setting. Higher education experience is highly desired. Evidence of progressively more responsibility for program development and implementation.
Primary Duties/Essential Functions
- Responsible for maintaining a vibrant, busy, and professional office environment.
- Acts as confidential assistant to the chair and program director. Coordinates program functions, calendars, and meetings. Supports program and faculty operations. Arrange departmental events.
MSW Program Support:
- Performs administrative functions, such as maintaining a professional office environment, preparing course materials, filing, printing/copying, correspondence, purchasing office supplies, and clerical support for faculty research.
- Coordinates budget management with the MSW program director, including monthly budget reconciliation and quarterly fiscal targets.
- Provides administrative support to MSW faculty, which includes maintaining the program calendar, coordinating course textbooks and materials, and communicating with the campus store.
- Provides support to the director of admissions and student services throughout the MSW admissions process.
- Organizes electronic program file system, including student and alumni records, academic documentation, and review of class registration each semester.
- Facilitates monthly program meeting logistics, including agenda, minutes, and location.
- Communicates via email, phone and in person with students and prospective students regarding inquiries, program requirements and announcements.
- Coordinates with staff and faculty, as well as other academic departments, to facilitate MSW program events, including new student kick-offs, commencement/hooding, and admissions events.
- Communicates with internal program entities and outside vendors for purchase and supply needs; initiates Purchase Requisitions into accounts payable system, and coordinates with the business office.
- Assists with data collection for curriculum assessment, program outcomes, and student surveys.
- Hires, supervises and trains student worker(s) for program and department support needs.
- Performs other duties as assigned by the program director.
Chair Support:
- Supports chair in university/administration communication; budget oversight; and department meetings.
- Supports program (BSW/MSW and PPSC) accreditation with the Council on Social Work Education (CSWE) and California Commission on Teacher Credentialing (CTC), assisting in the preparation of accreditation materials, research and coordination of completing required reports, and maintenance of program records.
- Maintains external accreditation and organizational dues and documentation.
- Oversees full-time and adjunct faculty hiring process, coordinating interviews and new hire orientation, including preparation/coordination of adjunct contracts.
- Maintains full-time and adjunct faculty information, including CVs, department directory, and experience verification.
- Manages and coordinates BSW/MSW alumni relations, including communication with offices of university alumni engagement and advancement; creating newsletter; managing new graduate contact information; organizing social work alumni chapter and committee member communication; and facilitating alumni events.
- Coordinates and supports the Social Work advisory board, such as bi-annual meetings, member communication, material/agenda preparation, historic board documentation.
- Manages department social media platforms.
- Coordinates the department’s website presence with updated program and faculty/staff information.
- Updates academic catalog, in coordination with chair, with current department, faculty, and accreditation information.
- Supports grant management and budgeting under the direction of the chair, in conjunction with the business office, and Office of Research and Grants.
- Performs other duties, as required.

Compensation
- Grade 7: $19.49 to $22.41 **** is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
