POSITION DESCRIPTION Responsible for timely processing of human resource documentation for all Oak River Insurance Company employees. Reports to the Human Resources Operations Supervisor and supports the needs of the HR operations team and the broader HR department. Primarily responsible for the administrative functions in the department, including filing, creation and maintenance of personnel related files for the department, data entry into the HRIS, preparation of new hire documents, and auditing of benefit and payroll information. RESPONSIBILITIES Maintain, organize, and update all HR related and/or published forms, documents, policies, and procedures. Triage HR mailbox and act as first point of contact for employees for HR questions and HR-related issues, understanding and applying company policies and processes. Ensure all employees questions and issues are resolved timely and appropriately based on our policies and processes. Perform various research and administrative/clerical duties as assigned including but not limited to: Process all employment verifications Process and coordinate with payroll the completion and timely response of EDD claims Respond to court-ordered benefits Create termination paperwork and coordinate the final paycheck to be included in termination paperwork packets Provide administrative support for new hire orientation including maintaining the new hire orientation presentation and folder files (various locations, CA and AOS), as well as meeting set up and coordination across the various offices. Administer paperwork filing systems and computer database maintenance according to practices and compliance standards. Create and maintain all files, including offsite, for new hires, existing employees, and terminated employees; follow up to ensure receipt of all required paperwork and documentation; close and maintain files accordingly. Research and update compliance documents for all states. Data entry, maintenance, and auditing of all files, records, and systems, including in ADP HRIS. Manage I-9 information in I-9 management system and identify and remove expired/separated I-9 Forms Maintain good communication and positive relationships with employees to promote employee satisfaction. Foster a positive working relationship with other Company staff. Serve as a role model for the Companys culture by embodying the highest standards of performance, behavior, and ethical standards. QUALIFICATIONS Bachelor's degree is required. Two years experience providing administrative support or working in a human resources department Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Excellent interpersonal skills. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. To perform this job successfully, an individual must have knowledge of office operations, workflow analysis, and current technologies in telecommunications, data entry and file management. Experience with records administration and maintenance. Advanced PC skills, including Word, Excel, and HRIS are required To perform this job successfully, an individual should have knowledge of Microsoft word processing software; Microsoft spreadsheet software; and be proficient on applicable databases, systems and vendor software programs.
