Job Description
Summary of Responsibilities:
Support Visa’s Facilities Director in tracking outsourced vendor activity. This includes but is not limited to ensuring access forms are submitted to Landlord’s property management office on time, ensuring COIs are kept current for all vendors, scheduling maintenance and repair vendors as necessary and tracking scheduled maintenance workload to ensure vendor contract SLAs are being met.
Communicate and partner as needed with other business teams, including but not limited to Corporate Events, Hospitality, and Security, representing the Corporate Services team, for regular and special events.
Provide general and overall facilities services, including daily monitoring of physical office conditions to maintain class A fit and finish throughout and around the building, including but not limited to paint, carpet, ceilings, furniture, and performance quality of Janitorial staff and Stationary Engineering technicians.
Partner with various Visa’s Corporate Services managers to support effective facilities, culinary, and space planning programs, including field verification and floor audits.
Work with cross functional organizations and stakeholders to ensure delivery of Global Corporate Real Estate OKR’s.
Assist in planning and supporting local events and employee experiences, delivering key outcomes of the office engagement plan.
Assist in obtaining proposals and evaluating RFP’s.
Assist in annual budget preparation and assist monthly OpEx review.
Perform other related duties, as needed by Facilities Director and Corporate Services team.
This is an on-site position, Monday to Friday.
This is a hybrid position. Expectation of days in office will be confirmed by your hiring manager.
Qualifications
Basic Qualification
•Minimum of 6 months of work experience or a Bachelor's Degree
Preferred Qualification
•2 or more years of work experience
•Bachelor’s degree in business administration or related field or 4 or more years
of Project Management experience
•Self-starting, solutions-oriented, energetic, analytical, strategic, creative and
results-oriented with a strong background in project management
•Exceptional organizational, administrative and communication skills
•Knowledge of contract furniture industry or passionate about furniture and
interior design, preferred
•Working knowledge of facility systems, furniture and ergonomics.
•Working knowledge of construction projects, furniture relocation and
installation, trucking, installation labor, furniture manufacturing and shipping,
building management and current workplace issues and trends
•Demonstrate professionalism, integrity, and sound judgment in the
performance of business transactions, and commitment to providing an
exceptional client experience
•Able to work effectively in a high pressure, deadline-intensive environment.
•Ability to work in a fluid environment where assignments change rapidly and
are time sensitive.
•Strong interpersonal and communication skills to interact effectively with
people both within and outside the company
•Must be detailed, organized, flexible and service oriented with the ability to
multi-task, problem solve and prioritize effectively to meet deadlines
•Working knowledge of PC and Microsoft Office software, including Excel, Word,
PowerPoint, and Adobe PDF. Knowledge of MS Project is preferred
•Transportation is required, as time at client sites in the greater bay area is
required
Additional Information
** Work Hours:** Varies upon the needs of the department.
** Travel Requirements:** This position requires travel 5-10% of the time.
** Mental/Physical Requirements:** This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 74,400.00 to 105,250.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
