    Leave Administration Coordinator -Job ID18882709486LocationFishers, INCompany NameNavient Description The Leave Administration Coordinator is responsible for responding to employee questions regarding all types of leaves of absence (state, local, federal, company); reviewing and approving bereavement, ergonomic workstation, and jury duty leave requests in accordance with applicable company and department policies, procedures, and standards. The incumbent also is tasked with accurately documenting communications or interactions had with applicable party(s) within the Leave Administration case management system. The Leave Administration Coordinator will follow established Leave Administration procedures to ensure a high-level of service is provided to all employees' inquiries. This position will handle sensitive and confidential information. Responsibilities Include: Operations -Performs intake requests for leaves of absence from employees via phone calls, emails, or in person meetings. -Send via email or mail the initial leave of absence request packet to employees based upon the leave of absence process [family and medical leave (FML), ADA, etc. -Review and approve basic jury duty, ergonomic workplace equipment, and bereavement leave requests. -Answer incoming calls to the Leave Administration Center around basic leave of absence processes and escalate to Leave Administration Specialist or Senior Leave Administration Specialist, as required. -Promotes the use of on-line tools and assists employees in accessing and using these systems -Processes employee status changes in HRIS and case management systems. -Follows up with department representatives as necessary to ensure resolution of problems involving incomplete, inaccurate, or non-compliant documentation. Customer Service -Provide ongoing communication of approved bereavement, jury duty leaves, and ergonomic workplace requests. -Offers prompt service to employees and manager regarding inquires of leaves of absence, workplace accommodation, and ergonomic workplace equipment requests. -Applies procedures, policy manuals, knowledgebase and other reference materials to assist in answering employee/manager inquiries promptly. -Maintain confidentiality and privacy of any personal or sensitive data. Documentation/Data Management -Completes Human Resources related transactions utilizing various systems: HRIS, Employee Relations case management system, and vendor systems as required. -Generates reports in the Leave of Absence case management system, HRIS, etc. pertaining to leave of absences. -Maintains and updates documentation Leave of Absence case management system and databases; ensures proper recording, approval, and filing/disposal of all documents received in accordance with established policies and procedural guidelines -Reviews procedures and documents pertaining to day to day processing actions, verifying for completeness, accuracy, and compliance with established policy and procedural requirements related to bereavement, ergonomic workstation, and jury duty leave requests. Additional duties as assigned by management.Requirements Education -High School Diploma/ GED/ equivalent -Some college preferred Preferred -0 -- 1 year experience in a Human Resource position, including experience administering leave of absence -Basic knowledge and understanding of HR, Benefits and Payroll processes -Advance computer skills, including Microsoft Office applications -Strong analytical and problem-solving skills -Persistent follow through on assignments -Customer service focus and strong interpersonal skills -Exceptional verbal/written skills and attention to detail -Ability to consistently deliver high quality customer service in a professional manner -Excellent ability to handle confidential information -Ability to develop and deliver oral and written communications and operating procedures -Ability to work as a team member including the ability to be flexible with changing priorities based on the business need -Ability to multi-task and effectively complete work amid distractions -Ability to manage employee data, utilizing an automated human resources information system. -Ability to accurately enter and manage sensitive computer data and manual records.
