    Job Description

    Position Summary

    This is work involving acceptance of monies to comply with court ordered fines, fees, and restitution assessments. In addition, this position handles generating reports for bail refund, individual financial transaction summary and answer inquiries from the public and attorneys in the above-mentioned topics. General supervision is received through daily review of work performed, CPMCS reports, safe reports, and reconciliation of cash, checks and credit card balances. Work differs from the next lower clerical level by the degree of accountability involved in ascertaining identity of surety and defendant, amount of bail necessary for release and exact custodial location of defendant. The employee is expected to work shifts as required by the 24 hours, 7 days per week operation of the bail function.

    General supervision is received through daily review of previous workdays' bail log and reconciliation of cash balances.

    Essential Functions

    ** The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive, other duties may be required and assigned.**

    • Stands at a receiving window used by the general public to make payments to the Office of Judicial Records and accepts payment for court assessed fines, fees and restitution.
    • Counts cash payments; compares payment to monies required.
    • Compares payment to bail monies required; completes necessary Certification of Bail & Discharge bond to initiate release of defendant.
    • Prepares and issues required fee receipts to payor.
    • Process filing fees for subpoenas and miscellaneous filing fees.
    • Creates financial statements for State Parole Board and other government agencies.
    • Generates individual financial summary for public and attorneys.
    • Collects, when necessary, payment of fines and/or costs and prepares discharge papers required.
    • Makes telephone calls and notifies government agencies on financial compliance of clients.
    • Generates reports related to bail forfeitures and makes docket entries and assessments.
    • Answers questions to public and attorneys on procedures related to bail refund.
    • Directs surety to correct room in City Hall in order to verify real property equity, checks for correct identity of surety.
    • Research for accuracy on bail refund payment.
    • Prepare and mail bail refund checks.
    • Maintains bail log of each individual transaction on a daily basis; prepares bank deposit slips detailing monies collected.

    • Makes daily settlement by reviewing and balancing CPCMS with monies received.

    Competencies, Knowledge, Skills and Abilities

    • Some knowledge of office procedures, methods, and equipment with particular reference to receiving and accounting for cash.
    • Skill in eliciting and giving information clearly and concisely.
    • Ability to learn, in a short period of time, procedures, policies rules and regulations of the court assessment operations.
    • Ability to learn, in a short period of time, procedures, policies rules and regulations of the bail refund operation.
    • Ability to make cash transactions accurately and make quick and accurate arithmetic computations involved in payment procedure.
    • Ability to establish and maintain effective working relationships with associates and the general public.

    1. High school diploma or equivalent.

    OR

    1. Equivalent combinations of training and experience providing the characteristics required to perform the essential function of the call may substitute.
    2. Ability to deal with the public in a courteous, professional manner.
    3. After meeting minimum application standards, successful completion of a panel interview, as well as a credit history and criminal background investigation.
    4. Ability to work rotational shifts, including weekends, holidays, and during all court closures.
    5. Ability to perform the essential functions of this position.
    6. Covid -19 Vaccination is recommended.
    7. Must work on site (not remote).

    Salary Range: $39,259 - $42,724
