    Specialist, Desktop Publisher

    The Desktop Publisher (DTP), Specialist works with the Proposal Managers and others as needed to layout, format, and publish files in various programs for final versions ready to submit. The DTP should have experience with Government proposals and understands various aspects of meeting requirements for both hardcopy and digital publishing. The DTP is responsible for producing well-organized proposals that reflect the correct brand imagery, adherence to RFP requirements, and a high-quality final product.

    Manage responsibilities creating and updating shells, merging documents, laying out and formatting documents as needed. Experience with creating hard copies for submission is required.

    This person should have a complete understanding and application of principles, concepts, practices, and standards of proposal production.

    Job Description Summary

    • Acts as production team lead of Maximus proposals throughout the bid lifecycle, and other related sales materials managing up to seven production efforts varied by due dates
    • Layouts and formatting of documents using Microsoft Word, MS PowerPoint, and/or InDesign, to incorporate styles set for Maximus or client-centric branding
    • Creates shell files in synchronization of proposal outlines and updates shell files as necessary; may add in story boarding templates and other such shell file needs
    • Generates and revises complex PDF files as well as coordinating electronic and print production
    • Manages graphics of various formats and ensures that the latest version is inserted and sizing unaltered
    • Performs heavy desktop publishing, with detailed formatting of proposals to determined brand, technical documents, reports, sales documents, and other selling documents
    • Reads solicitations for production and formatting requirements and ensures it is followed, guiding others to follow it as needed
    • Works with technical materials, tables, and combining/rearranging material from different document sources
    • Works with Copy Services to schedule and produce hard copy proposals as needed to assemble proposals, do book checks, and prepare for shipping
    • Can review document text and identify errors related to the use of language, in general, or adherence to a specific style guide
    • Performs other related duties as assigned

    Minimum Qualifications

    • Possesses a minimum of 2 years of word processing, document layout, and proposal production experience
    • Manages one’s own time and is able to meet aggressive deadlines and manage multiple tasks and projects at once
    • Must be able to travel/be present in VA headquarters for hard copy production as needed, stand and/or sit for long periods of time, and lift up to 35 pounds
    • Advanced knowledge of Microsoft Word, Microsoft PowerPoint, and Adobe Acrobat Pro
    • Must be able and willing to work beyond normal work hours (i.e., nights, weekends, and/or holidays) when required
    • Knowledge and experience using Adobe Creative products and SharePoint
    • Exhibits above average written and verbal communication skills
    • College degree or equivalent years of experience
    • Must perform all work within the United States

    Job Summary

    Essential Duties and Responsibilities:

    • Work closely with authors, import text and images and create layouts in both Microsoft and Adobe software programs.
    • Follow established style guides and templates and are able to implement appropriate style and layout for desired submissions and presentations.
    • Create visually compelling digital and print materials such as forms, reports, information graphics, presentations and website imagery.
    • Develop, modify and maintain documents and prepare formatted documents for print or electronic publication, including editing and proofreading for quality and accuracy.
    • Manage assigned projects to meet review, publication and submission deadlines and contribute to brainstorming meetings and the development and implementation of new ideas.
    • Establish and maintain version control, file access permissions and electronic file archival, including archival proposal materials upon submission of bids.
    • Produce and format documentation including formal proposals, technical documentation, process flow diagrams, procedures, reports and other published materials.

    Minimum Requirements:

    • Bachelor's degree with 3+ years of experience.
    • May have additional training or education in area of specialization.
    • Develops solutions to a variety of problems of moderate scope & complexity.
    • General application of concepts & principles.
    • Contributes to the completion of organizational projects & goals.
    • Frequent use and general knowledge of industry practices, techniques, and standards.
    • Applies knowledge and skills to complete a wide range of tasks.
    • Communicates on complex or sensitive issues or drafts such responses for supervisor or manager.

    Pay Transparency

    Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards. Compensation ranges may differ based on contract value but will be commensurate with job duties and relevant work experience.
