The office provides service to the citizens of Prince William County and the Cities of Manassas and Manassas Park. The Circuit Court handles criminal and civil cases as well as appeals from the lower court. Land records, marriage licenses, fictitious names, and wills and probate, in addition to judicial records, are all maintained by the Clerk's Office. This is an "At Will" position, and hires will serve at the pleasure of the Clerk of Court. GENERAL DEFINITION OF WORK: Performs routine administrative support, technical and customer service work in the Circuit Court Clerk's Office. Work involves training in and selecting methods of accomplishing assigned work within established guidelines in a single focus area such as Accounting, Land Records Front Counter, Land Records Support, Public Service Center, Civil Front Counter, Civil Support, Probate, or two of nine tracks in Courtroom Support. Work is performed under immediate supervision of a Deputy Clerk Supervisor or designee. DISTINGUISHING FEATURES: The Deputy Clerk I is the entry level position in the Deputy Clerk series of the Circuit Court Clerk's Office. It is designated as the initial training level for the development of skills that would allow for continued advancement in the Deputy Clerk series. The incumbent will train in one focus area (Accounting, Land Records Front Counter, Land Records Support, Public Service Center, Civil Front Counter, Civil Support, Probate) or two tracks in Courtroom Support. This level is differentiated from the Deputy Clerk II in that the Deputy Clerk II is fully proficient in one focus area or two tracks in Courtroom Support. TYPICAL TASKS: Trains in one focus areas of the Clerk of the Court (Accounting, Land Records Front Counter, Land Records Support, Public Service Center, Civil Front Counter, Civil Support, Probate) or two tracks in Courtroom Support; Assists customers with routine questions received by phone, email, fax, mail, or in person; Gathers and researches basic information to respond to customers; Receives and reviews documents for filing and recording sufficiency; Inputs data from documents into automated systems; Scans and indexes documents into automated systems; Performs basic quality assurance of documents scanned; Processes a considerable volume of detailed record work in an accurate and timely manner; Determines applicable fees for documents to be filed or recorded; Collects and receipts monies for applicable fees, fines, costs, restitution and taxes using an automated cashiering system; Reconciles daily receipts and prepares daily financial report; Assists in preparing a variety of court documents; e.g., orders, reports, summons, and forms; May prepare, review, and maintain fiscal or related records; May obtain quotes, prepare vendor invoices, code purchase orders/requisitions, May prepare disbursements, transmittals, or journal vouchers; May assist auditors with semi-annual audits. KNOWLEDGE, SKILLS AND ABILITIES: Some knowledge of standard office procedures, practices and equipment; some knowledge of common legal procedures, terminology and documents; ability to comprehend applicable Virginia Code sections and laws; ability to comprehend documents and accurately process directives; ability to use applicable automated systems; ability to perform data entry, scanning, indexing and retrieval with computer information systems; ability to use an automated cashiering system and to reconcile receipts; ability to perform a considerable volume of detailed record work in an accurate and timely manner; ability to maintain and prepare required records and reports; some knowledge of routine accounting principles; ability to establish and maintain effective working relationships with officials, other employees and the general public; ability to communicate effectively both orally and in writing. Education and Experience EDUCATION AND EXPERIENCE: Any combination of education and experience equivalent to graduation from high school; and 1-2 years administrative support experience. PREFERENCES: Experience in a legal environment. Experience with court related computer information system applications. Experience using an automated cashiering system. Accounting Focus Area: Prefer bookkeeping or accounting support experience.
