    Le Labo fragrances was born in Grasse (France), raised in New York (USA) and offers artisanal genderless scented creations (fine perfumery, home fragrance as well as formulas for body, hair, and face). Le Labo stands for "the lab" in French: Each of our boutique’s function like an open laboratory designed as an entertainment park for the senses where people can take the time to smell and touch raw ingredients to awaken their olfactory system and trigger emotions. We freshly hand-blend our fragrances on site, to the order and each label is personalized with the date and place of the formulation as well as a message chosen by our client. Creating soulful Beauty with Care through our craft of slow perfumery is the heartbeat of our company.     JOB SUMMARY:

    We are currently looking for a Coordinator, Retail Operations to join the Le Labo North America team. As part of the sales and operation departments, this role will support the rapid growth of the regional business in brick & mortar doors multi-channel, through new openings and launches as well as in daily operational enhancements. In this position, the coordinator will work closely with North America store operations and sales team. This role is based in our Williamsburg, Brooklyn office.

    PRIMARY RESPONSIBILITIES:

    NEW OPENINGS

    • In partnership with the wholesale team, set up department store new locations in SAP system.

    • Play a pivotal role in managing the calendar of opening tasks and coordinating with cross departments that tasks are completed on time.

    • Coordinate the scheduling and delivery of supplies for free-standing-stores (FSS) and retailer counters for successful openings.

    • Prepare the hand-made supplies from Brooklyn office and warehouse and ensure the delivery for each opening.

    NEW PRODUCT / PROGRAM LAUNCHES

    • In partnership with the wholesale team, prepare new launches information to be shared with retail partners: the SKU list, price list, launch dates, collateral, and display information.

    • Provide store managers with new launches materials to support seamless execution in stores, including but not limited to cycle count sheet, order forms, and price list.

    • Dispatch and organize delivery of new launches VM materials (signage, displays) to stores.

    • Support the sales team on placing and tracking opening orders.

    • Manage brand’s new launch gratis program for internal teams.

    STOCK MANAGEMENT

    • As a liaison between Sales Associate and field teams, deliver weekly out-of-stock report per retail channels and act fast in assisting the teams in high-risk situation. Coordinate the submission of hot orders when needed.

    • Support Sales Associate in submission and tracking of stock orders and ensure respect of delivery timelines to the stores.

    • Align with the sales team on healthy stock level at stores to support lab operations and sales. Manage monthly supply orders via internal procurement platform: Passport and SRM. Control delivery timeline and cascade to teams.

    • Ensure the timely submission of invoices and payment processing for store.

    • Manage North America dedicated supply inventory in Brooklyn warehouse and office. Maintain proper level of stock to support brand’s specific programs (new openings, new hires kits, retail events), keep space organized, and monitor stock level/replenishment.

    • Collaborate with the sales and store ops departments on shipping report communication to the field. Track and update to identify the opportunity in improving shipping/warehouse logistics issues and mitigate damages and unsustainable shipping practices.

    RETAIL OPERATION ENHANCEMENT

    • Provide compliance reports to evaluate the store compliance standard, best practices, and improvement opportunities.

    • Oversee the response performance by store managers on the internal task communication platform (Opterus) and prepare task reports.

    • Maintain boutique operations book updated for new and existing doors.

    • Manage the sales/anniversary milestone tracker.

    • And prepare meeting summaries to cascade to the teams.

    • Assist Store Ops team in revamping the shipping carrier database.

    • Set up accurate and streamlined data in the carrier accounts such as UPS / FedEx.

    ONBOARDING PROGRAM COORDINATION

    • Manage the North America POS staff list upon each turnover and new opening.

    • Set up back-end information for new hires and grant the Soul with access to data and system on the starting date. Coordinate with vendor to set up security and POS log-in codes, update the email list and the business card master list when applicable.

    • Work closely with field managers on the Welcome Kit supplies to ensure the new hire receives the kit on their first days.

    QUALIFICATIONS & SKILLS

    • 1+ years of experience in retail operation or similar field.

    • Team player (able to work with multiple depts., and tasks outside one’s scope).

    • Strong sense of details.

    • Ability to adapt to the operation model and culture specific to Le Labo.

    • Multi-tasking. 

    • Excellent verbal and written inter-personal communication skill.

    • Entrepreneurial mindset.

    • Valid legal status for traveling within US and Canada. 

    • Intermediate to advance knowledge of Power Point and Excel (advanced formula, Pivot Table, V-Lookup, Conditional formatting).

    • Experience with Service Channel; SAP a plus.

    • Familiarity with Microsoft applications in Mac computer.

    • NY-base resident with ability to visit the office/warehouse in Brooklyn as needed. Physically capable

    • lift packages up to 20lb.

    The anticipated base salary range for this position is $26.00 hourly to $39.00 hourly. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with possibility for overachievement based on performance and company results.
