Documentation Rep Job Location US-FL-Clearwater ID 2018-2220 Category Administrative/Clerical Position Status Regular Full-Time Position Schedule Monday-Friday Shift 9am - 6pm Overview Position Summary : Ensures all necessary medical documents and patient accounts are consistent and complete. Specifically responsible for obtaining and maintaining proper Physician Work Order (PWO) documents for new and existing patients. Responsibilities Essential Duties: Ensures all medical documents, patient accounts and files are updated, consistent and complete to support shipping and billing Obtains, reviews, maintains, medical records, and logs ABNs and PWOs into the patient account Validates PWOs match supplied orders including quantity, products, items, physician information, formulary requirements and manufacturer compatibility Handles inbound and outbound calls to physicians offices and patients; Transfers patient calls to appropriate department Collects documents for PWO Hold accounts to allow shipment of future orders Audits configuration of supplies based on physician authorization Achieves stated revenue goals, production, and performance objectives Escalates recurring problem accounts or physician groups or other trends to the management appropriately and in a timely manner to reduce reimbursement issues Maintains advanced knowledge of specialty and ancillary products to answer patient questions and assist with accurately processing complex orders, including out-of-stock items, exchanges and returns Maintains a high degree of confidentiality at all times due to access to sensitive information Maintains regular, predictable, consistent attendance and is flexible to meet the needs of the department Follows all Medicare, Medicaid, HIPAA, and Private Insurance regulations and requirements Abides by all regulations, policies, procedures and standards Performance Responsibilities: Exercises appropriate cost control measures Maintains positive internal and external customer service relationships Maintains open lines of communication Plans and organizes work effectively and ensures its completion Meets all productivity requirements Demonstrates team behavior and promotes a team-oriented environment Actively participates in Continuous Quality Improvement Represents the organization professionally at all times Qualifications Position Requirements & Competencies: High School diploma and one year of medical documentation experience or equivalent combination of education and experience One to two years of customer service experience preferred Ability to deal courteously with internal and external customers in a fast-paced environment Ability to read and interpret documents such as Medicare/Medicaid regulations and insurance documents Proficient in Microsoft Outlook, Word, Excel, PowerPoint and computer literacy Ability to speak effectively to patients, health care providers and employees of the organization Ability to add, subtract, multiply and divide all units of measure Strong attention to detail, multi-tasking, communication, and organizational skills are essential Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form Ability to adapt to a constantly changing environment Critial thinking and problem solving skills are essential Position may require evening and weekend availability Equal Opportunity Employer/Veterans/Disabled
