The Payroll Administrator is responsible for all payroll functions, ensuring that the processing of all payroll payments, tax filings, and W-2s are completed in an accurate and timely manner. In this role, you will also assist in developing and implementing policies and procedures to enhance internal controls and productivity in the payroll area. Responsibilities: * Process the bi-weekly payroll for 500+ staff members, using ADP Workforce Now, Essential Time and Attendance module. * Responsible for all aspects of timecard administration including new employee set up and approver and delegate assignments, monitoring supervisor approvals, password resets and transfer of data to payroll, and training of employees and managers on timecard system. * Serves as resident expert and as primary contact with ADP on payroll software, coordinate implementation and configuration of updates as needed. * Comply with federal and state reporting requirements, to ensure that payroll tax filings are accurate and filed. Review the Centers quarterly and annual payroll tax returns, including the W-2s. * Maintain current knowledge of applicable state, federal, wage, hour and tax laws; elevates new requirements to management and works collaboratively to ensure Centers adherence and compliance. * Monitor the tax status of foreign fellows and ensure compliance with various visas and tax treaties. * Manage all wage garnishments/levies and required payroll adjustments. * Prepare and submit 403b pre and post tax employee deferral elections & Center contributions. * Serves as the primary resource of payroll related information as requested by employees for their individual needs, or by HR, Finance, or other departments within the company as appropriate, or to facilitate requests from the IRS or company auditors. Responsible for annual payroll audits as required. * Prepares and posts accurate monthly journal entries as required, ensuring all information is tracked in preparation for annual audit. Balance all payroll accounts, identifying and resolving any discrepancies in collaboration with staff accountants. * Provide accurate reporting of payroll related transactions to management as required. * Review payroll processes and identify improvements to enhance internal controls. This will include working with HR, Legal, and other departments as necessary to highlight and resolve issues with system and processes. * Maintains and updates, as necessary, employee salary allocations in IT Works grant management system. Our ideal candidate will have: * Bachelors degree or relevant years of experience * Minimum 3 years payroll experience (CPP a plus) * Advanced expertise with payroll systems; ADP Workforce Now highly preferred * Ability to work independently, using own judgment and discretion to problem solve payroll issues and projects. * Accounting knowledge and a general understanding of financial principles, practices, systems, and procedures * Excellent judgment and the ability to keep payroll information confidential * Customer service focused: Ability to provide a high level of quality customer service by providing understandable and accurate information/answers to employees and other inquiries in a helpful, approachable, professional, and timely manner * Strong organizational and time management skills with the ability to manage multiple tasks simultaneously and under tight time constraints * Strong interpersonal, relationship building, and communication skills (written and oral) * Excellent computer skills; Strong working knowledge of Excel and Word * Excellent auditing skills; accurate with strong attention to detail * Appropriate math skills and superior analytical and problem solving skills * Ability to stay abreast of developments and best practices in field Joslin Diabetes Center is an Equal Opportunity Employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability status, protected veteran status or any other status protected by law.
