    Job Description

    Position Summary

    The Payroll and HRIS Administrator will work within a multidisciplinary team processing payroll for assigned employees, ensuring pay is processed on time, accurately, and in compliance with government regulations. The position will also have responsibility for assisting with the maintenance and potential future implementations of various HR platforms and systems. The Payroll and HRIS Administrator is the point of contact for employees regarding payroll-related inquiries, such as paycheck calculations, tax withholdings and deductions. This position reports to the Director of Payroll.

    The budgeted salary range for this position is $58,650 to $70,000. Actual pay will be dependent on budget and experience; all our salaried roles are eligible for bonus.

    Essential Job Functions/Key Responsibilities

    • Process and review bi-weekly, multi-state regular payroll cycles and off-cycle payrolls/payments for the company ensuring timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
    • Prepare and maintains accurate records and reports of payroll transactions
    • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices
    • Prepare, enter, and process employee payroll-related information including new hires, terminations, and changes to pay rates while ensuring accuracy including but not limited to:
      • Perform pre-payroll audits and error-checking procedures for bi-weekly payroll processing (must be proficient in Microsoft Excel for this)
      • Verifying all hours submitted; correcting any discrepancies
      • Assist in finalizing payroll file and upload for bank submission
    • Respond promptly and courteously to all inquiries (internal and external) regarding payroll items, providing regular updates on outstanding items to applicable individuals
    • Audit payroll systems monthly and quarterly ensuring employee records, taxes, and other related items are maintained accurately
    • Maintain and update various HR systems and processes
    • Responsible for the setup of new business structure paths in the HR systems to ensure seamless integration
    • Assist in implementing HR system updates and/or new HRIS software implementation(s)
    • Provides training and support to HR staff and end-users on how to effectively access, navigate and use the various HR systems including developing user guides, documentation and training materials to facilitate system adoption
    • Other duties as assigned

    Education & Experience Requirements

    • Bachelor's degree in accounting, business administration, human resources or related field
    • 2 years of experience processing payroll for a company that exceeds 1,000 employees required

    Knowledge, Skills & Abilities

    • Proficient knowledge of payroll fundamentals, including preparation, balancing, internal controls, and payroll taxes
    • Working experience of payroll tax at the federal, state and local levels
    • Proficient knowledge in Microsoft Excel, Microsoft Office Suite products or similar
    • Proficient with payroll and HRIS software(s) UKG/Kronos preferred
    • Strong analytical and problem-solving skills
    • Excellent attention to detail, motivated to help others, thrives in a fast-paced environment and has a natural ability for problem-solving
    • Ability to apply knowledge of various software's (i.e. HRIS/HCM systems, Excel, etc.) to find the most efficient and effective way to process or audit items
    • Ability to communicate effectively with all levels of the organization
    • Ability to analyze and solve problems through critical thinking
    • Ability to work in a team and communicate the delegation of work to others on the team when needed
    • Ability to handle multiple tasks at the same time
    • Ability to plan and organize work and priorities effectively
    • Ability to work under stressful and often urgent deadlines

    Additional Information

    Work Environment and Physical Demands

    • Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements
    • No adverse or hazardous conditions
    • Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50)
