    PAYROLL SPECIALIST

    JOB TITLE: PAYROLL SPECIALIST

    The Payroll Specialist position will handle these key functions for an established group of clients. They will be responsible for the full cycle financial duties of their assigned book of business to ensure a superior internal and external client experience.

    **FULL AND PART TIME POSITION AVAILABLE

    ESSENTIAL JOB RESPONSIBILITIES

    • Complete Payroll for their assigned clients

    • Enter payroll data into digital systems to keep all payroll files up to date.

    • Maintain daily staffing showing hours worked for all employees.

    • Process W-2 forms for all employees at the end of each calendar year.

    • Help process wage garnishments and direct deposits for all employees as needed

    • Keep all payroll information confidential, maintaining privacy for every employee.

    • Creating and issuing invoices to customers.

    • Processing credit memos, as necessary.

    • Preparing account statements for customers.

    • Following up on outstanding payments and answering customer queries.

    • Monitoring all payments and preparing monthly billing reports.

    • Monitor accounts daily

    • Take action to encourage timely payments

    • Process payments and refunds

    • Resolve issues (billing, customer credit, etc.)

    • Update account status records

    • Prepare and present reports on collection activities and progress

    • Posts customer payments by recording cash, checks, and credit card transactions.

    • Posts revenues by verifying and entering transactions

    • Maintains records

    • Verifies validity of account discrepancies by obtaining and investigating information from sales, trade promotions, customer service departments, and from customers;

    • Resolves valid or authorized deductions by entering adjusting entries.

    • Resolves invalid or unauthorized deductions by following pending deductions procedures.

    • Summarizes receivables by maintaining invoice accounts; coordinating monthly transfer to accounts receivable account; verifying totals; preparing report.

    KNOWLEDGE/SKILLS/ABILITIES REQUIRED

    • Proven experience in the core functions of billing, payroll and customer collections
    • Proficient in Microsoft Office
    • Proficient in Data Entry
    • Knowledge of QuickBooks
    • Ability to meet strict deadlines

    MINIMUM QUALIFICATIONS

    • 3 + years' experience in Payroll and Billing for a growing, service based company
    • High School diploma or equivalent
    • College degree preferred
