POSITION SUMMARY:
The Building Automation Project Coordinator works and coordinates with Project Managers across all Haynes Mechanical locations to ensure excellent project delivery for Haynes Client Services customers. Project Coordinator is a critical support role for the Building Automation Systems projects team with a primary focus on procurement, administrative coordination, and field completion of the project lifecycle.
Success will require collaboration with project managers and field teams/sub-contractors. Additionally, field assessments and customer interaction will necessitate outstanding communication and a client service mindset.
REQUIREMENTS:
- A minimum of 3 years in a support role for project managers or 5 years of administrative support required
- Extremely proficient using MS Office products such as Excel, Word, and MS Project
- Effective communication and interpersonal skills with internal and external customers
- Able to work independently, sometimes under strict time constraints
- Strong organizational and time management skills
- Ability to assist project managers, team, and subcontractors to ensure all pre- and post-deployment project activities are accounted for and documented
ESSENTIAL DUTIES AND RESPONSIBILITIES:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:
INTERNAL COORDINATION:
- Create project electronic files on company server based upon booking notification
- Review project sales packages for completeness and accuracy
- Coordinate internal turnover meetings from sales to operations
- Coordinate control drawing approval process with Engineering and Project Manager
- Create and send customer documentation and coordinate external start-up meetings
- Issue purchase orders for sub-contractors
- Coordinate with Mechanical Project Coordinator on projects that have automation components
- Coordinate close-out documentation completion (warranty/training/OM/as-builts, DB backup) for internal close-out meetings
EXTERNAL/FIELD COORDINATION:
- Assist with Site Safety Observations and JSA compliance in conjunction with Project Managers
- Ensure all project materials are staged accurately and coordinate job site delivery with Purchasing and Logistics department drivers or scheduled pick up by technicians or subcontractors
- Assist with developing change order validation and documentation – both internal and external as directed by Project Managers
- Coordinate project timelines and safe off assessment or execution
- Develop punch list documentation on BAS Projects with/for Project Managers
- Coordinate customer close-out documentation and attend project training sessions

- Must be able to see, enter, and manipulate data using a computer terminal and peripherals
- Noise level in the work internal environment is minimal, field level is typical of running mechanical equipment and PPE must be maintained
- This is an “in office position” for normal business hours, with coordinated flexibility between project managers and the team
COMPENSATION: $55,000 - $60,000/year
