Outside Accounts coordinates the entry of financial transactions and other documents relevant to the required reporting of external accounts. The Customer Service Associate (CSA) directs and coordinates communications between internal and external sources to obtain and maintain data. Key Responsibilities: * Data entry of financial documents including stock trade confirmations, positions and other financial statements * Research and convert currency for foreign exchange transitions * Responding to and resolve inquiries via Help Desk tickets (SRS) * Process respond to and resolve incoming material and inquiries from a high volume Shared Outlook Email Mailbox * Index (Data Capture) by locating key data on emailed correspondences and sorting documents into appropriate shared subfolders according to department specifications * Provide records management for the control, storage and retention of account documentation * Provide high quality service by processing records management requests, document research, off-site storage and retrieval and processing historical statement requests * Complete quality assurance on completed entries to ensure accuracy, correcting variances as needed * Maintain accurate documentation for processing and storage; ensuring compliance within set business guidelines * Create and maintain department Procedures and Work Instructions * Create and maintain Excel spreadsheets and Word documents, as needed, for billing and reporting Additional Responsibilities: * Ensure the highest level of customer care with ability to communicate with multiple levels within an organization * Ability to work at a sustained pace, minimize site waste and rework and produce quality work to meet production service level agreements and support financial results * Must become fully familiar with a variety of on-site equipment and be capable and willing to perform first level troubleshooting * Adhere to all safety procedures and ensure adherence to business guidelines, safety, and security procedures * Maintain accuracy of required reports and logs * Participate in cross-training and perform other duties as assigned (answer phones, outgoing shipments, general facility, and computer task and support etc.) * Dependable, Self-motivated and accountable with ability to adhere to employee attendance policy * Take direction from supervisor or site manager * Ability to work independently with minimal supervision.
