Click here to learn about our amazing culture! Summary Responsible for the creation and maintenance of various inventory systems pertaining to functions within the Registration team. The Legal Inventory Specialist - Registration will audit data as necessary and ensure business documents that contain inventory are in alignment and are accurate. In addition, they are responsible for reporting requests out of all inventory systems. The Legal Inventory Specialist - Registration will demonstrate strong interpersonal skills as candidate will need to communicate both verbally and written with many departments. A person in this role is expected to attend meetings and report findings with sufficient detail as determined by the business area. They will have intermediate company and product knowledge. All other duties assigned will be based on business needs. Responsibilities include, but are not limited to: * Works with various business partners to onboard new inventory. This involves but are not limited to the following: * Reviews title and ensures we are free from any liens or encumbrences * Assists with the coordinates preparation of legal documents to ensure club documents are consistent. * Assist with the coordination of Legal recordation * Partners with other departments (internal and external clients as well) to ensure inventory related information is accurate. * Coordinates registration delivery dates * Reviews executed and/or recorded legal instruments and data inputs to ensure consistent data * Document review include but may not be limited to club declarations, deeds, title policy/reports and title exceptions * Maintains and creates various data reports, such as but not limited to club forecast, club title update tracker, title error tracker, tracker for notices of commencements, corporate seal automation reports, etc. Maintain and update club tables with appropriate inventory for proper registration with state agencies (creation of blackline and clean versions), including researching necessary inventory data needed for the completion of the tables. Maintain and update processes and checklists for end user reference. * Proactively coordinates with various business partners to ensure that inventory data is accurate at all times. May review and audit records as assigned. Close attention to detail is necessary to ensure accuracy. Coordinate with title agents when additional information/data is required. * Responsible for partnering with inventory group to ensure inventory is cleared and available for registration. Identifies inconsistencies and effectively communicates to necessary parties. Communicates inventory data accurately within meeting settings. * Ability to analyze data and interpret reports that are essential to business operations. * Ability to train on the job functions to team members, as well as other tasks as assigned dictated by business needs. Ad havoc projects as assigned. Qualifications: Minimum Requirements and Qualifications Education: * AS or AA degree preferred / Equivalent work experience acceptable Knowledge and skills * Ability to be a team player, yet operate independently as required while exercising discretion and independent judgment * Ability to develop collaborative relationships to facilitate the accomplishment of work goals * Ability to interact at all levels within the organization * Highly motivated and challenge-oriented individual * Strong verbal and written communication skills via a variety of communication channels * Strong organizational and computer skills * Demonstrated attention to detail * Ability to manage changing priorities and self-manage work flow to meet company and customer expectations; demonstrated ability to work well under pressure and meet deadlines * Previous project coordination experience preferred * Vacation ownership industry knowledge, preferred Technical Skills * Microsoft Office Applications including, Word, Outlook, Excel and PowerPoint; Adobe Acrobat Pro. * Experience with web-based applications. * Experience in internal applications such as webconnect, Physical Inventory (PI), Brio/Hyperion reports, Mainframe/CSS, useful but not necessary. Job experience * 1-2 years in project coordination experience, preferred * 3 years industry experience Unless there is a legal requirement, experience will be accepted for the education requirement.
