    What you’ll be doing…

    You’ll ensure that everything is running efficiently for the leaders in your group. You’ll be answering calls, greeting guests, planning travel, scheduling appointments, handling travel expenses, and essentially looking after the day-to-day operations in the office. Your role is essential to building an environment where everyone can do their best work.

    We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to provide dedicated support. In this critical role you will ensure the day to day operations run smoothly by managing complex schedules, coordinating communication, and handling high-level administrative tasks. This position requires discretion, efficiency, and the ability to anticipate the leadership needs in a fast-paced, dynamic environment.

    Responsibilities will include:

    • Managing and maintaining a senior executive’s complex calendar with constantly changing priorities, while maintaining sensitivity, arranging travel accommodations as necessary, and carving out time for focused work. This includes international travel and itineraries.

    • Preparing and entering senior executive's expense reports. Pre-approving direct report team expenses to ensure guidelines are being followed.

    • Acting as a gatekeeper and scrutinizing all requests to ensure time efficiency. Screening meeting requests and employee inquiries.

    • Pulling together reports/presentations as needed.

    • Bringing urgent issues for action to supervisor’s attention.

    • Providing information with discretion as needed, requiring detailed knowledge of the executive’s span of control, the business unit, and general knowledge of company policies, practices, and operations.

    • Partnering with executive assistants in the organization to review processes, leaders time off schedules, etc.

    • Establishing relationships and a strong network with internal administrative and Chief of Staff teams, as well as external administrative teams of our partners.

    • Providing logistics for hybrid and on-site Leadership Mtgs; including MRF approvals and Vcard payments.

    • Assisting with special projects, research, and preparation of materials for meetings. Track key initiatives and provide status updates as required.

    • Performing ad hoc project-related duties as requested.

    In this hybrid role, you'll have a defined work location that includes work from home and assigned office days set by your manager. VCG in office days are typically Tuesday, Wednesday, and Thursday.

    You’ll need to have:

    • A Bachelor’s degree or one or more years of work experience.

    • Proficient with Microsoft Office Suite, Google Workspace, Concur and Slack.

    Even better if you have one or more of the following:

    • A degree.

    • Experience and capability to juggle multiple high priority projects.

    • Demonstrated ability to stay organized and meet deadlines.

    Where you’ll be working

    In this hybrid role, you'll have a defined work location that includes work from home and a minimum eight assigned office days per month that will be set by your manager.

    If you are hired into a California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Minnesota, Nevada, New York, Rhode Island, Washington or Washington, D.C. work location, the compensation range for this position is between $69,000.00 and $128,000.00 annually based on a full-time schedule. The salary will vary depending on your location and confirmed job-related skills and experience. This is an incentive based position with the potential to earn more. For part time roles, your compensation will be adjusted to reflect your hours.
