Essential Job Functions The Human Resources Coordinator will provide administrative support to the Director of Human Resources, the NY Human Resources team and assist in day-to-day aspects of non-attorney recruiting. Responsibilities include, but are not limited to: review resumes, source on LinkedIn, administer pre-interview testing, greet and escort candidates to on-site interviews, manage background verification process, conduct professional reference checks, initiate payment of departmental invoices, assist in new hire orientation preparation, actively participate in the use of the firms Applicant Tracking System / Recruiting Module, assist with new hire orientation preparation, process and file new hire paperwork. Assist with non-attorney recruiting process

    • Source passive candidates for open positions using LinkedIn and other candidate sourcing tools. * Administer pre-interview testing for all candidates and enter the results in the Firms ATS. * Print applicant applications and monitor their completion. * Manage background verifications and follow up on any items needing attention. * Follow up, as needed, on conflicts analysis clearance. * Conduct professional reference checks. * Initiate payment of all recruiting invoices and follow up with any inquires. Assists with New Hire Orientation for all new hires and rehires * Create Employee Files. * Create New Hire Binders and update with all necessary changes. * Order catering for each New Hire Orientation. * Create name tents for attendees and assemble welcome bags. * Set up for New Hire Orientation. * Compile, scan and file new hire paperwork. Administrative duties include but are not limited to * Answer phones, filing, scanning, mail distribution and other clerical duties assigned by the HR Director and NY Human Resources team. * Maintain Staff Recruiting files, both physical and electronically on DMS. * Maintain Employee Personnel files, both physical and electronically on the DMS. Assists with Employee Programs * Enter new hire information in the 30-60-90 spreadsheet, spreadsheet maintenance. * Monitor Survey Monkey for both New Hire Survey and 30-60-90 Surveys, share results. * Update Glassdoor spreadsheet, send feedback request emails. Qualifications & Requirements Education, Work Experience, Skills A minimum of 3 years of related experience, Bachelors degree and previous experience in Human Resources and/or Recruiting is required. Human Resources/Recruiting experience in a law firm or other professional services environment is a plus. Considerable initiative, outstanding customer service skills, the ability to learn quickly, and superior written and verbal communication skills are required.Work requires excellent proofreading skills, analytical ability, organizational skills, acute attention to detail, excellent follow-through skills, as well as keen judgment and problem-solving skills.Individual must have the ability to maintain the highest level of confidentiality at all times and maintain high standards for personal performance.Ideal candidate will be able to multi-task, meet concrete deadlines as well as be a solid team player.Advanced Microsoft Excel skills, strong Microsoft Word skills, and working knowledge of PowerPoint is also required.Experience with an Applicant Tracking Systems and PeopleSoft is strongly preferred.
