To learn more about Akima, LLC visit our website at www.akima.com or careers@akima.com PRIMARY FUNCTION The incumbent provides administrative support to the management and staff of Akimas Human Resources Department as well as the Akima family of companies. This position is viewed as a senior clerical role which handles day-to-day administrative duties within the Akima Human Resources Department and in support of the subsidiary companies. Performs all essential duties and responsibilities at the direction of the Manager of HR Compliance. ESSENTIAL DUTIES & RESPONSIBILITIES - Maintain Human Resources file room, making sure that employment records are kept in an orderly system, and are secure and confidential. - Maintain active employment records by creating employment files for new hires, and filing daily paperwork into employee files. - Maintain inactive employee records by pulling active files, and filing termination paperwork daily into employee files. - Support internal employment file inquiries to include; pulling active files for Human Resources staff, ensuring sign out process is followed. - Support external inquiries for employee information by completing employment verifications and supporting Office of Personnel Management inquiries. - Maintain other HR recordkeeping, such as; I-9s, E-Verify Records, and EEO Surveys. - Support regular record retention process in pulling and tracking files to be sent to off-site storage, recalling records and returning to off-site storage, and approved purging of records according to policy. - Support I-9 and E-Verify process to include identifying missing or incomplete I-9s or E-Verify, maintenance of special filing system, follow-up on missing information, and supporting audit process. - Support other HR Compliance programs as needed such as labor law postings, AAP, and EEO-1 and VETS reporting processes. - Prepare letters, mailing, and correspondence for HR management and professional staff. - Schedule HR staff meetings and the use of HR conference room. - Order and stock supplies for the HR office. - Provide HR tools and resources for management and staff to accomplish their goals and objectives. - Perform other duties as assigned. SPECIALIZED KNOWLEDGE & SKILLS: - Experience working with a multiple-site workforce. - Intermediate to expert level computer skills. Strong proficiency in MS Excel - Excellent verbal and written communication skills. - Great interpersonal skills. - Results-oriented, hands-on, strong customer service orientation with demonstrated desire to exceed expectations. - Strong time-management and prioritization skills, able to multi-task and meet competing priorities and deadlines. - Strong organizational skills with exceptional follow-through and attention to detail. QUALIFICATIONS - High School diploma and/or equivalent work experience. - 3 5 years of experience in professional HR environment. - Self-starter, highly responsive, and detail oriented. - Ability to maintain absolute confidentiality in all business matters. - Ability to pass background check. EQUIPMENT AND APPLICATIONS - Familiarity with HRIS systems - PCs, laptops, word processing, Microsoft Office Suite - Internet and Intranet WORK ENVIRONMENT AND PHYSICAL DEMANDS - General office environment with no special physical demands required. - Some occasional lifting and moving of office equipment and supplies may be required.
