HR Specialist, Global Mobility Hershey, Pennsylvania, United States Oct 2nd 2018 Position summary: Job Location: Hershey, PA We are looking for a highly motivated, organized and professional individual to join our Global Mobility team in Total Rewards. Summary of Major Duties: Vendor Management * Coordinate the initiation of employee tax, relocation, and immigration pre-move counselling sessions with our vendors. Track and ensure any issues raised during counselling sessions are resolved prior to move occurring. * Liaise with internal functions to gather employee/assignee data to be provided to vendors as part of the service initiation process. * Collaborate with relocation/tax vendors in the preparation of assignment/relocation cost estimates. Provide cost projections to finance for budgeting and accrual purposes. Obtain and share with relevant parties assignment/relocation cost center and invoicing information. * Assist with the semi-annual compensation balance sheet update process through collaboration with tax vendor. Provide updated information to payroll and manage correspondence with assignees. * Collaborate internally with our global entities and relocation vendor to ensure third party payments and benefits-in-kind are properly reported to payroll for inclusion in annual wage statement (global compensation collection process). * Track and manage the collection of outstanding tax equalization and repayment agreement balances through collaboration with tax vendor. * Coordinate filings of visas and work permits with immigration attorneys. * Review periodically and ensure accuracy of assignees/employees on service vendor authorization lists. * With assistance of vendors, monitor individual assignment/relocation case deadlines and document/filing expiration dates ensuring relocation deadlines are met and immigration/tax filing expirations do not occur. Administration and Support * Monitor the receipt of vendor invoices and facilitate timely processing and payment. Research any invoice processing errors and liaise with global Accounts Payable departments to resolve issues. * Administer the issuing and execution of assignment/relocation relevant documents, updating all impacted systems and tracking spreadsheets, and maintaining all relevant documents and files including required employee immigration files. * Approve domestic relocation initiation forms. * Active management of the domestic relocation accruals spreadsheet including working directly with Finance for monthly/quarterly reporting. * Oversight of domestic professional level relocations. * Prepare and maintain active assignment and relocation status reports and dashboards. Assist team with the gathering of data for and preparation of mobility/relocation related presentations. * Support ongoing efforts in the areas of process improvement and project management. * Coordinate special projects, ad-hoc reporting, policy and documentation updates, monitor global mobility outlook inbox correspondences, and conduct research on various mobility, relocation, and regulatory changes. Minimum Education and Experience Requirements: Education: * Bachelor's degree in Accounting, Tax, Finance, Human Resources or equivalent mobility/relocation industry experience. * Certified Relocation Professional (CRP), Global Mobility Specialist (GMS), Certified Compensation Professional (CCP), and/or Certified Public Accountant (CPA) professional designations preferred. Experience: * 1+ years experience in an HR (global mobility, HR operations, compensation, benefits), shared services, finance, or tax role. * Experience working in a fast paced, multi-cultural, globally matrixed customer service organization preferred. * Knowledge of relocation, tax, global compensation and immigration preferred. * Strong analytical, communication and influencing skills. * Ability to manage complex spreadsheets with working knowledge of Excel functions. #LI-DC1 The Hershey Company is an Equal Opportunity Employer.
