    Our company is actively growing and seeks an Entry-Level Human Resources Administrative Specialist to join our team. This position supports the HR Business Partner in Knoxville, TN, and handles administrative tasks for the HR department as a whole.

    Position Summary:
    This role plays a key part in providing centralized support for Human Resources programs, policies, processes, and systems. It helps ensure HR services are delivered efficiently and according to established timeliness and compliance standards.

    Work Environment:

    • Quiet office environment.

    • Ability to work onsite during normal Monday-Friday, full-time, day shift hours.

    Duties & Responsibilities:

    • Monitor shared departmental email inbox and/or phone line, directing inquiries to appropriate team members (HR Business Partner, Talent Acquisition Representative, Payroll Team, etc.). Inquiries may include status change forms, unemployment notices, wage verifications, benefits enrollment questions, new hire onboarding documents, and more.

    • Serve as the point of contact for administering Criminal Background Checks, Drug Testing, and Motor Vehicle Records Check processes for the company.

      • Set up pre-hire drug testing, background checks, and MVRs.

      • Communicate results to relevant team members.

      • Save and file results in established locations.

      • Review vendor invoices for accuracy and submit them to Accounts Payable.

      • Administer the company’s random drug testing program, including ordering and distributing oral swab drug testing kits.

    • Enter new hire data and Team Member changes into the HRIS as required.

    • Complete the E-Verify process for new hires.

    • Create, maintain, and disposition electronic Team Member files/folders.

    • Provide onboarding assistance to the Talent Acquisition Team, including:

      • Day 1 orientation scheduling.

      • Ordering company credit and/or fuel cards.

      • Ordering and sending welcome gifts.

      • Requesting and receiving new hire email and network credentials.

    • Assist with registering and tracking professional licenses and certifications as needed.

    • Maintain the company calendar for key HR activities.

    • Coordinate Team Member engagement events.

    Knowledge & Experience:

    • Entry-level HR opportunity – ideal for those looking to start their HR career.

    • Strong MS Office skills, particularly in Excel.

    • Experience with detail-oriented work; experience with Bluebeam or Adobe products is a plus.

    • Prior experience with HR systems or similar databases preferred.

    • Strong interpersonal skills, with a willingness and desire to work as part of a team both locally and across the organization.

    • Self-motivated and able to multitask in a fast-paced environment.

    • Bi-lingual in English/Spanish is a plus.

    Education:

    • High School Diploma/GED required.

    • Post-high school education and/or professional certifications in job-related disciplines is a plus.

    Physical Requirements:

    • Must be able to sit for long periods of time.

    • Must be able to use a telephone, computer, and other office equipment.
