    Job Description

    The Virtual Event Planner supports the CPS Marketing & Events Team – Marketing Services in the planning and execution of virtual events. This role involves assisting with the coordination of virtual events and providing logistical support to internal teams, including Investment Professionals, Sales, Legal & Compliance, and external vendors. The VEP works closely with event requesters and team members to ensure the smooth delivery of virtual events, focusing on operational tasks and execution.

    _ *This role operates in an outsourced capacity, servicing an asset management client of RR Donnelley._

    _ *This role is a hybrid structure, based out of our client's office in NYC._

    Responsibilities:

    • Assist with reviewing session details and requirements to support successful virtual event execution.
    • Provide logistical support for virtual events, including scheduling, communications, registration, and speaker coordination.
    • Collaborate with event requesters and team members to ensure events meet objectives and run smoothly.
    • Help coordinate kick-off calls, dry runs, and event day operations with meeting stakeholders and event owners.
    • Support the operation of virtual platforms, including event setup, execution, basic troubleshooting, and post-event follow-up.
    • Perform additional tasks as assigned to assist the Global Events Team.
  • Qualifications

    • Bachelor degree in discipline related to functional work (marketing, communications, business administration, or related) OR role with 5+ years of relevant work experience
    • Familiarity with virtual event platforms such as Zoom Webinar, Zoom Meeting, Zoom Events, or ON24 highly preferred.
    • Must be able consistently identify critical elements, variables and alternatives to develop solutions. Must be able to organize/prioritize existing resources and incorporate new information, as needed, to implement the most effective solutions. Able to communicate clearly and courteously with those who need to know of decisions/actions/problems. Able to apply excellent business acumen and collaborative skills when resolving problems.
    • Able to apply excellent functional computer knowledge in utilizing Microsoft Windows, MAC, or other technical tools in completing assignments. Able to apply expertise in all the tools or applications used to complete work assignments. Able to mentor junior level team members in the use of tools and/or systems in the position.
    • Basic project management skills with the ability to multitask and meet deadlines in a fast-paced environment preferred.
    • Strong verbal and written communication skills with the ability to support presenters and participants during virtual events.
    • Detail-oriented with a commitment to maintaining data accuracy and high standards of work.
    • Comfortable with technology and learning new software applications.
    • Must be able to modify communication style both formal and informal to match. the appropriate level of the audience targeted. Requires strong understanding of the impact of a message on the organization or customer.

    Additional Information

    The national pay range for this role is $57,700 - $95,000 / year. The pay range may be slightly lower or higher based on the geographic location of the hired employee. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program.
