    Our Lamar office in Las Vegas, NV, is now hiring a new Operations Administrative Assistant to help us bring outdoor advertising campaigns to life for brands in Las Vegas, Nevada, and the surrounding areas. The purpose of the Operations Administrative Assistant is to provide administrative support to the Operations departments in the company, including answering phones, typing correspondence, inputting data, and researching data.

    What you can expect from us:

    What we're looking for in YOU:

    • Ability to speak on a one-to-one basis using appropriate vocabulary and grammar to obtain information and explain policies and procedures.
    • Skill in speaking with persons of various social, cultural, economic, and educational backgrounds.
    • Skill in setting priorities which accurately reflect the importance of job responsibilities.
    • Ability to manage a multi-line phone system.
    • Must have knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 2+ years related experience.
    • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
    • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
    • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
    • Skill in writing grammatically correct business correspondence.
    • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
    • Strong work ethic - someone who takes great pride in professionalism, responsibility, and is proactive
    • Must be proficient with computer software such as Microsoft Office, database and presentation
      software.

    Education and Experience Requirements

    • Minimum high school diploma or equivalent
    • A minimum of 1 year of office experience
    • 2 years of computer software use in an office setting preferred

    A day in the life:

    • Provide administrative support for all Operation’s needs, including providing daily routing support and assisting with safety meeting preparation and presentation.
    • Organize and prioritize large volumes of information and phone calls.
    • Answer phones take messages or field/answer all routine and non-routine questions, Work in cooperation with other Assistants to cover phones.
    • Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.
    • Proofread for spelling, grammar, and layout, making appropriate changes.
    • Establish, develop, maintain and update filing system for the Operations Manager. Retrieve information from files when needed.
    • Act as a liaison with other departments and outside agencies. Handle confidential and non-routine information and explain policies when necessary.
    • Work independently and/or within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the Operations Manager, which may include: planning and coordinating presentations, disseminating information.
    • Greet and answer inquiries from general public, customers, and visitors route and resolve information requests.
    • Process outgoing mail and receive deliveries.
    • Coordinate space and office organization; including kitchen, supply room, and warehouse.
    • Assist with coordinator duties as needed, including taking proof of performance photos.
    • Assist charting with vinyl storage maintenance.
    • Create and maintain excel spreadsheets for billing and assist with daily, weekly, and quarterly reporting and electronic file maintenance.

    Physical Demands and Work Environment

    • The primary work environment for this position is an office.
    • The physical demands for this position include light lifting, pushing, reaching, seeing (with a focus on reading and acuity), sitting more than 50% of the time, standing, stooping, talking, turning, and walking.
    • Nights spent away from home are less than 10%.
