POSITION OVERVIEW: Join our team where dedication to duty and service excellence are paramount. As a Billing Coordinator, you'll collaborate with colleagues committed to serving both our external suppliers and internal customers. Your primary responsibility will be to support the accounting, budgeting, and billing functions within our port operations and transportation department. This entails various tasks such as invoicing, billing, providing customer service support, and managing purchase orders, among other duties.
JOB RESPONSIBILITIES:
Code and enter invoices into company databases.
Resolve invoice discrepancies and dispute charges against agreed rates.
Review and manage supplier account statements monthly.
Process refunds or credits when necessary.
Prepare accruals for month and year-end operations.
Handle supplier remittances.
Set up new suppliers in the system.
Make analytical decisions and recommendations.
Provide analysis and reports as requested.
Manage invoice tracker and ensure it's up to date.
Proactively communicate with suppliers to obtain pending invoices.
Assist North American Ports & Transportation Departments with various tasks.
Identify and implement process improvement initiatives.
Follow or improve established Standard Operating Procedures (SOPs) as needed.
JOB REQUIREMENTS:
1-2 years of experience in billing and accounting.
High School diploma required; Bachelor’s degree preferred.
Strong data entry skills.
Attention to detail.
Excellent written and verbal communication skills.
Ability to multitask and thrive in a fast-paced environment.
Proficiency in Microsoft Word and Excel.
Adaptability, proactiveness, and resourcefulness.
Strong organization, planning, and time management skills.
Ability to work well under pressure and maintain a problem-solving attitude.
Capacity to prioritize tasks and manage multiple projects effectively.
JOB ENVIRONMENT:
Work is primarily conducted in a comfortable office setting with controlled temperatures.
Employees may spend extended periods seated at a desk or computer workstation.
Use of standard office equipment such as calculators, keyboards, telephones, etc., is common.
Some physical movement like stooping, bending, twisting, and reaching may be necessary to fulfill job responsibilities.
This position requires satisfactory passing of a drug test in accordance with Florida Statute § 440.102.
