    Synagogue Administrator Temple Menorah - Redondo Beach, CA 90277 Job Title: Synagogue Administrator Function: The Synagogue Administrator is the primary administrative manager of the synagogue, ensuring smooth functioning of all operations. The Synagogue Administrator is responsible for the implementation of policies passed by the Board of Trustees, providing the day-to-day management of all fiscal, facility and administrative affairs. The Synagogue Administrator supervises all administrative, clerical, and facilities personnel and serves as an ex-officio member of the Board of Trustees and the Executive Committee. Reporting: Ultimate reporting for the Synagogue Administrator is to the Board President on behalf of the Board of Trustees, with ongoing regular consultation from the Senior Rabbi in accordance with the provisions of Guidelines for Rabbinical-Congregational Relationships. ESSENTIAL RESPONSIBILITIES include but are not limited to: Office Management: * Supervise all administrative and custodial staff * Assist in hiring and firing all administrative and custodial staff, including developing job descriptions, performance evaluations and benefits management * Develop and implement office policies and procedures * Train new staff and oversee the continued training of existing staff * Ensure effective use of all office systems including synagogue software, internet capabilities, phone systems, copiers, etc., maintaining all such contracts * Supervise the day-to-day operations of the Temple Office * Oversee maintenance of various synagogue records, e.g. membership data, newsletters, minutes, and all historical and archival records Facilities Management: * Supervise facilities staff to maintain the property in clean, good condition. Authorize necessary repairs, replacements and maintenance in keeping with the budget. Make recommendations to the Board when extraordinary expenditures are required * Provide on-site supervision of repair, grounds maintenance, renovation and expansion projects * As appropriate, obtain competitive bids for services, projects, and contracts * Develop and implement a program of preventive periodic maintenance * Monitor utilities usage and identify areas for improvement and corrective action * Responsible for coordinating purchase of fixtures and equipment with maintenance staff * Oversee all safety and security measures Membership: * Provide initial contact with prospective and new members, offering information on services, programs, and dues structure * Maintain accurate membership records which reflect all pertinent data as to individuals and families * Assist in planning of strategies for growth and membership retention, including coordination of marketing efforts * Serve as an exemplar of customer service and people matter approach Board and Committee Resource: * Serve as a resource for Board of Trustees and Executive Committee * Serve as staff liaison to all committees related to facilities, finance and personnel * Support all committees and auxiliaries with calendar and set-up needs * Attend special committee meetings as warranted Program Coordination and Calendar Development and Management: * Coordinate and maintain master synagogue calendar, collecting and organizing all facility and calendar requests * Work with the rabbi in pre-planning of each years activities to ensure a balanced calendar * Provide the administrative and logistical support required for the smooth running of events * Provide logistic support required for the smooth running of all Shabbat and life cycle services, High Holy Day services, and festivals Rentals: * Oversee the rental of the facilities to members and the community at large including contracts, collections, insurance and scheduling of staff * Work with all BNai Mitzvah families, and any other parties using the facility, to ensure that all rental needs are taken care of * Develop, implement and enforce Temple policies in regard to caterers, photographers, musicians, etc. who provide services within the Temple building * Ensure that all catering needs are taken care of for rentals and synagogue programs and services Finance: * Collaborate with staff accountant, reporting to synagogue treasurer, in maintenance of fiscal records, tracking of accounts receivable and accounts payable and provision of monthly and annual reports * Direct staff accountant in administration of all payroll-related duties * Assist the Budget Committee in the preparation of the annual budget * Maintain a handle on cash flow, ensuring that appropriate professional staff and lay leadership are aware of trends * Assist lay leadership in monitoring the collection of dues and all fundraising efforts Insurance: * Research, negotiate, monitor and recommend to the Board of Trustees benefit packages including health insurance, disability insurance, retirement plans for all staff as appropriate * Negotiate, with Board approval, appropriate insurance protection for the building and its contents Human Resources: * Ensure that all hiring paperwork for all employees is ascertained and maintained, including maintenance of all employee files

    • Oversee benefits management * Process all termination or separation matters * Maintain employee handbook, policies and procedures, updating as necessary QUALIFICATIONS * Outstanding interpersonal skills * Excellent knowledge of QuickBooks, Excel, Word, Outlook and relational databases * Knowledge of Adobe Suite (PDF, InDesign, Illustrator, etc.)
    • Knowledge of database systems (ShulCloud a plus) * Works well under pressure in a busy environment * Can prioritize work assignments * Able to multi-task * Experience with non-profit organizations and fund accounting * Experience in payroll programs * Knowledge and understanding of Jewish rituals recommended but not required EDUCATION and/or EXPERIENCE BA Degree required At least three years of experience as an Administrator, Operations Manager or equivalent LANGUAGE SKILLS Must be able to speak and write in grammatically correct English. Spanish and Hebrew a plus. ADDITIONAL SKILLS Must be comfortable with numbers, accounting, spreadsheets and a corporate budget development and review process for accounting and budget duties. EQUIPMENT TO BE USED Computers, copy machines, multi-line telephones and other electronic devices. PHYSICAL DEMANDS Must be able to move frequently during the workday WORKING CONDITIONS All work to be performed on site during normal operating hours.
