    Job Description

    The Archive Coordinator is responsible for leading projects and activities within the archive. The Archive Coordinator will also be expected to perform similar duties as the Archive Specialist. This department archives records from across the company, including business and GxP regulated records such as Pre-Clinical, Clinical, Regulatory and Safety.

    The Archive Coordinator will be expected to drive projects to completion by coordinating the efforts of several specialists and performing as direct assistant to Archive managers. This position will require a fair amount of physical activity including regular lifting and transporting of containers and pallets. This position reports to the Archive Operations Manager.

    Responsibilities

    • Oversees daily operations in conjunction with and independent of manager
    • Leads and/or participates in high-performing, cross-functional teams or projects to establish best practices and improve the archiving organization
    • Reviews, analyzes, strategizes and execute computer system issues pertaining to the Archival Transmittal System (ATS), the Records Information Management System (RIMS) and HPE Content Manager
    • Assists with customer requests on a regular basis and conduct fact-finding tasks as necessary
    • Responsible for space management in the warehouse and office areas
    • Actively adheres to the requirements of the Records Management Enterprise Governance and builds relationships with external vendors, internal clients, global partners and AbbVie groups that manage records
    • Accurately tracks and reports work progress to provide metrics for use in status reports to management
    • Demonstrates accuracy and proficiency in daily data entry output
    • Retrieves and returns record storage containers to specific locations
    • Responsible for compliance with applicable policies and procedures and safety guidelines
    • Performs other duties as assigned

    Qualifications

    • High School diploma or equivalent
    • College coursework, Associate’s or Bachelor’s degree preferred
    • 3+ years related experience in a regulated industry such as, pharmaceutical, medical device, manufacturing, regulatory affairs or quality
    • Knowledge and hands-on experience with Document Management Systems.
    • Experience in records management and/or working in an archive
    • Demonstrated attention to detail, specifically with typing and organizational skills
    • Advanced knowledge and experience with MS Excel, Word, PowerPoint, and SharePoint
    • Ability to lift containers of 25 pounds or more repetitively
    • Clerical experience (sorting, collating and filing), including ordering supplies and invoice reconciliation
    • Demonstrated leadership skills such as: Time management, good communication, quality focus, proactive, teamwork, etc.

    Preferred Experience

    • Forklift license
    • Familiarity with document scanning and electronic media duplication

    • The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future.

    • This job is eligible to participate in our short-term incentive programs.
