    Job Description

    Position Summary

    The USMM Planning Coordinator has the overall responsibility for supporting the USMM team with project management, administrative duties and coordination for internal meetings and events, as well as national conferences for Allergan Aesthetics. This position interacts with all business units and reports to the AVP of USMM.

    Key Duties and Responsibilities :

    Basic duties:

    • Project management of USMM Meetings and Conferences
    • Scheduling for AVP, USMM
    • Expense reports for USMM
    • Maintain USMM calendar of events (conferences and meetings) on SharePoint
    • Organize department supplies, shipping and tracking
    • Coordinate team meetings
    • Plan and execute key meeting planning tasks and projects
    • Assist with onboarding new departmental employees
    • Be “SME” (Subject Matter Expert) as company rolls out new policies & procedures, software applications, technical processes
    • Track inventory of meeting materials
    • Budget tracking
    • Maintain project trackers

    Additional duties:

    • Manage internal contracting process for USMM that includes submitting requests for contract generation in BuySmart and collaborate with Finance Concierge Team for PO issuance
    • Meetings & Conferences
      • Coordinate and track attendee registration lists for tradeshows and meetings
      • Order and track exhibitor badges for conferences
      • Work with internal Cvent registration platform, tracking and reporting
      • Run weekly SAP cost center reports
      • Conference Societies’ list management
      • Manage and update Meeting Information Summary documents (MIS) for conferences
      • Invoice submissions and coding
      • Generate city-specific restaurant listings for meetings and conferences as needed
      • Maintain and update attendee lists for Managers Meeting and National Sales Meetings
    • Backup processor for national sponsorship submissions utilizing SEM systems (iHub and SNAPP internal systems)
    • On-site Meeting and Conference planning support as needed
    • Additional departmental projects as assigned

    Qualifications

    Required Skills & Qualifications:

    • B.A. or B.S. degree preferred, or equivalent experience required
    • 3-5 years of experience in meeting, event, and conference planning
    • Exceptional project management and administrative experience
    • Organized, solution oriented, and self-reliant in a rapid, fluid environment
    • Meeting, event and conference planning experience
    • Collaborative, positive, personable and works well with others at all levels of the organization
    • Able to multi-task with ease
    • Strong office technology systems including Excel, PowerPoint, Teams, SharePoint, Concur expense reporting system and project management tools such as Smartsheet, Asana.
    • Enjoys having fun in a collaborative team environment
    • Strong stakeholder collaboration
    • Domestic travel approximately 20-25%

Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range.     • This job is eligible to participate in our short-term incentive programs.
