    Job Description

    Pet Food Express is seeking a highly organized, detail-oriented and enthusiastic Human Resources Assistant to join our team. Based in our headquarter office located in Oakland, this role reports to the Human Resources Director and provides day-to-day administrative support to the Human Resources Department. The HR Assistant is responsible for a wide variety of HR functions including and not limited to: prioritizing and managing the workflow of Human Resources inquiries, ensure timely and accurate processing and HRIS data entry, provide support and continued training for specific HR processes and policy interpretation, New Hire Onboarding support and responding to routine employee questions. This is an excellent opportunity for someone who is self-driven, dependable, a natural collaborator and wants to develop in the Human Resources field. This is a critical role that requires working under strict confidentiality and the ability to work independently.

    WHAT YOU'LL DO:

    • Maintain the integrity and confidentiality of human resource files and records (HRIS, electronic and hard files); track and update store, personnel and incident files, following up with stakeholders and managers as needed
    • Manage HR email inbox workflow and prioritization; analyze inbox messages to determine appropriate next steps: engaging in general information sharing, facilitating escalation to appropriate team contacts and commutation with stakeholders as appropriate
    • Provide administrative support to Recruiting and Payroll in areas related to pre-hire, applicable applicant background checks, onboarding, terminations, benefits, employee status changes and other employee lifecycle processes.
    • Active contributor to HR Functional projects as defined; coordinates logistics and calendars for department events, supports efforts related to HR processes and programs including scheduling meetings, arranging plans, travel, etc.
    • Respond to HR administrative inquiries and requests; act as a liaison, solution-oriented problem solver, and facilitator as the first contact for the HR team and others in the department
    • Become a company expert on HR best practices and systems; train employees and address questions and employee issues, be a resource to teammates and managers on company policies, practices, and regulations
    • Coproduce and create monthly employee newsletter
    • With guidance, complete employment verification and unemployment requests via fax, phone, or email.
    • Partner with Accounts Payable Department/Finance partners as needed to track expenses, process billing requests and manage/monitor use of HR department credit card
    • Provide Reception back-up as needed, welcome and acknowledge all guests according to company standards
    • Miscellaneous administrative duties including filing, faxing, emailing, phone communication, ordering and tracking supplies as needed
    • Assist Human Resources Department in ongoing and special projects as assigned

     WHAT YOU'LL BRING:

    • 1-2 years related experience in HR Administration, Administrative Assistant or similar role
    • General understanding of Human Resources policies and practices, or experience with general administrative functions and desire to learn and grow in an HR role
    • Effective computer skills with strong proficiency in Excel (including the development of tables, spread sheets, formulas, custom reporting), Microsoft Office Suite and related business and communication tools
    • Strong organization, attention to detail, and accuracy, the ability to manage and prioritize work and instinctually follow-up
    • Highly effective communication and collaboration skills, able to build positive, successful relationships across all levels
    • Excellent interpersonal skills and good judgment to manage sensitive and confidential situations with tact and professionalism
    • Ability to remain calm and confident in high pressure moments, understand personnel needs and urgency in situations and escalate issues beyond your experience
    • Natural problem-solving capabilities, positive mindset and commitment to skill development
    • Proven ability to learn new technologies quickly and manage change efficiently, proactively and in a positive manner
    • Associate's or Bachelor's degree in HR or a related field preferred
