POSITION SUMMARY This position provides comprehensive HR support, coordination and counsel related to a wide variety of HR activities and systems in accordance within service level agreements. Primary areas of responsibility include onboarding, GEMS, performance management, time & attendance/payroll issues related to HR, and offboarding. Analyze each task assigned and identify areas for standardization and process improvement. Complete compliance related duties in accordance with company policy and laws. Note: HR Shared Services hours are Monday through Friday, 8:00 a.m. to 7:00 p.m. Representatives are expected to work flexible shifts within those hours, to service our customers and business needs accordingly. The shift for this position will be 10:30am-7:00pm EST. CORE RESPONSIBILITIES: 1. ONBOARDING/OFFBOARDING * Develop a comprehensive understanding of all HRSS operations, processes, systems and applicable policies and laws. * Create a seamless onboarding and offboarding experience with respect to HRSS areas of responsibility. * Manage all process steps after hiring decision: approve/extend offer letter, ensure pre/post employment checks are successfully completed, and compliance activities (such as Form I-9 completion and E-Verify), etc. * Monitor system related activities in hiring process to ensure timely hiring into GEMS. * Resolve any issues within the onboarding process as they are encountered. Identify the cause implement the necessary steps to prevent them in the future. * Analyze information obtained and determine which policies and laws are relevant to the situation. Use the information to make decisions on action items needed to resolve the situation. Inform or escalate issues to HR BPs and COEs as needed. * Maintain accuracy of employee data, paperwork and files throughout employment. * Perform designated audit reports and make the necessary corrections in the system, or work with the appropriate groups to accomplish. * Complete employment verification and unemployment requests. * Generate and provide offboarding paperwork to HR BPs as needed. 2. GEMS/PERFORMANCE MANAGEMENT * Support HR Business Partners and managers in performance management related system needs * Approve transactions and/or perform entry into GEMS accurately and timely. * Perform audits of the GEMS data and perform corrections as needed. * Provide super user support related to field requests, help desk tickets, setting up new fields or values, etc. * Approve tuition aid requests once appropriate documentation is provided. * Assist employee and managers with self service and performance management system requests and review and approve transactions as assigned. * Troubleshoot and resolve or escalate EDA/MDA/Performance Management or GEMS issues, as appropriate. 3. COMPLIANCE * Review every Form I-9 to ensure it is 100% accurate, and if not work with HRBP or District Coordinator to have it corrected accordingly. * Submit/confirm E-Verify is completed on every new hires within required timeframe. In cases of Tentative Non Confirmation facilitate the appropriate processes to bring the process to completion including working with the HR BP to perform their steps of the process accurately and timely. * If accurate Form I-9, required supporting documents are not received within a day of the deadline, escalate to management. * Monitor the expiration dates of the various work authorizations and ensure the appropriate steps are taken to obtain new documents and update the Form I-9 and GEMS accordingly. 4. HR TOOLS, STANDARDIZATION AND PROCESS IMPROVEMENT * Resolve assigned cases and service requests within designated Service Level Agreements (SLA). * Utilize case management system to escalate work to appropriate teams. * Leverage HR Spaces, mySherwin, sherwinbenefits and shared drives to obtain information and coach HRBPs, employees, and managers on how to find and use these resources. * Analyze tasks assigned and redefine and document each in a Standard Operating Procedure (SOP). Update SOPs as processes change. * For each situation handled identify and interpret the applicable policies & past practices to determine the appropriate course of action to pursue. * Counsel managers and employees on topics related to HRSS. * Identify other potential activities that can be added to Shared Services. * Participate in Transactional Lean Training & become Lean Certified. Utilize the methods & tools learned through Lean training to identify & implement continuous improvement initiatives within the department and/or for the S-W HR community throughout the year. POSITION REQUIREMENTS Basic Qualifications: * Bachelors Degree from an accredited institution is required. * Minimum 1 year human resources or customer service experience is required. * Must have experience using Microsoft Office Excel, Word, Power Point or Access. * Must be authorized to work in the US without company sponsorship now or in the future. Preferred Qualifications: * Bachelors Degree in Human Resources or business related field. * Bilingual Spanish speaking & writing strongly preferred.
