    ROLE: VENDOR COORDINATOR – FULLTIME NON-EXEMPT WITH OVERTIME AND BENEFITS

These services include marketing foreclosed property (REO) to sell and property management services such as cleanouts, landscaping, renovations, and repairs. The property management division requires operations to manage a network of 6000 vendors and in-house crews to perform these services. Every month the company manages thousands of properties in all 50 states. The property management of pre-foreclosure and foreclosed properties is also known as Field Services and Preservation.

    Candidates should be energetic and ambitious, looking to grow with the company. Candidates will be responsible for managing field service orders, data entry, logistics, vendor management, and other miscellaneous tasks on large government portfolios with thousands of properties in Pre-Foreclosure or Foreclosure. The candidate should be an excellent communicator to facilitate phone and email interactions with vendors and clients regarding property issues. Attention to detail, organizational skills, and meeting critical timelines are factors in a candidate's success in the role. Assist with developing plans, processes, and comprehensive reports for tracking, monitoring, and executing required real estate services to ensure sustainment support of homes managed. Support, improve and perform various maintenance planning, supply support of programs.

    Overview:

    The Vendor Management team will support the other firm's operations department with the day-to-day operations through the following activities: Oversees all activities associated with onboarding vendors, background checks, Visneta support, educate vendor policy and procedures. Act as a liaison between operations representatives, project managers and vendor base. Ensures that vendors are in place for majority of our highly populated areas. Assist the Manager to ensure the successful completion special projects and meet timelines.

    Qualifications:

    • This is an Entry-Level position
    • Prior experience with sales, procurement, construction, or real estate is a plus
    • The company will train the candidate in industry property management guidelines and systems.
    • Excellent communication skills over phone and email for recruitment activities
    • Must be self-motivated and focused on providing high levels of service.
    • Proficient with MS Word, Excel, and Outlook.
    • Excellent oral and written communication skills.
    • Ability to Multitask working on several different properties and vendors at one time.
    • Applicants must be able to commute to the office daily and pass a background check.

    Responsibilities:

    • Responsible for recruiting vendors nationwide in order to preserve and secure the real estate assets of our clients
    • Must be deadline-driven, detail-oriented with a strong background in customer service
    • Prior experience working in a fast-paced, team environment
    • Prior experience in sales or call center a plus
    • Must have strong oral and written communication skills
    • Must be comfortable making outbound calls to potential vendors
    • Proficient knowledge of Microsoft Office, especially Excel and Outlook
    • Ability to work independently with sourcing requests
    • Ability to research and source vendor leads independently
    • Ability to multitask and change direction quickly depending on department needs
    • Ability to negotiate pricing contracts with potential vendors
    • Ability to review and verify insurance policies and vendor applications
    • Ability to effectively manage daily communications with our property vendors, staff and clients
    • Ability to visualize, articulate and conceptualize both basic and complex problems
    • Ability to analyze vendor data and equipment for contract needs
    • Ability to interpret and explain client's guidelines and policies to the vendor base
    • Ability to coordinate with other departments to ensure services are provided in an efficient and timely manner
    • Knowledge of landscaping and construction equipment a plus

    Typical Functions:

    • Responds to vendor questions regarding properties assigned
    • Cold Calls during sourcing activities to find new vendors to complete landscaping and other maintenance services nationwide.
    • Makes sure all documentation such as licensing, vendor agreements, flat-rate pricing, insurance and background checks are stored in the database.
    • Explains the scope of services, corrects errors, provides information on pricing
    • Explains client requirements in regards to property services and proper documentation for payment (photos, etc. required)
    • Requires sound knowledge to navigate the company's online property management website and ordering system, along with good knowledge of services and guidelines.
    • Works closely with department manager and Project Managers to ensure vendor capacity and pricing is in line with workloads.
