    Job Summary

    Role Summary:

    We are looking for an experienced, detail-oriented AR Manager to add to our accounting team. In this role, you will be responsible for managing the accounts receivable functions for several operating companies. You will supervise AR & Billing Specialists, as well as directly perform tasks, related to setting up projects and subscriptions, managing time and expense entry, approval, and billing processes, as well as product sales. This will include managing collection activities such as sending follow-up inquiries and negotiation with past due accounts. This position will also require reviewing accurate receivable records and verifying outstanding account balances. Additionally, you will work with the controller to create financial reports relating to the account receivable function and status of accounts and provide data and forecasting information for company financials.

    Duties/Responsibilities:

    • Supervise and manage all functions performed by the AR staff.
    • Provide backup for AR staff during busy month end and year end processing as well as out of office staff coverage.
    • Guarantee accurate entry of billing information into the General Ledger and oversee General Ledger activities, including thorough review of AR calculations and inputting them into the ledger.
    • Manage and perform integration processes between billing systems and general ledger (BigTime and QuickBooks) (in a DCAA approved manner) - timesheets and duplicate creation of invoices.
    • Collaborate with the Controller in report preparation by reviewing BigTime project forecasts and providing relevant numerical data.
    • Collaborate with the Controller to contribute to revenue forecasting initiatives.
    • The AR Manager is expected to fulfill all responsibilities assigned to AR Specialists.
    • Establish setup parameters, including LCATs, rates, costs, budgets, and DCAA integration, within the Project Accounting System.
    • Train employees on time entry and Project Managers on project accounting management.
    • Manage sales tax oversight, encompassing registration with new states and maintaining strong relationships with both state authorities and vendors.
    • Oversee manual adjustments to Tesseract revenue.

    Required Skills/Abilities:

    • Proficient in executing tasks and delivering assignments with a strong emphasis on accuracy.
    • Ability to develop and document processes to enhance efficiency and ensure clear guidelines.
    • Strong communications skills, both written and verbal.
    • Ability to work independently and as part of a collaborative team.
    • Self-motivated, highly organized and detail oriented with a strong ability to prioritize and multi-task.
    • Comprehensive knowledge and understanding of applicable laws and regulations.
    • Demonstrated experience creating comprehensive financial statements and reports.
    • Exceptional customer service skills to resolve issues promptly and support stakeholder needs.
    • Strong knowledge using Microsoft Excel, including Pivot Tables and complex formulas.

    Qualifications:

    • Bachelor’s degree in accounting, finance or related field.
    • 5+ years of experience with QuickBooks, both online and desktop.
    • 3+ years of experience as an AR Manager overseeing AR and credit management.
    • 3+ years of experience utilizing project accounting and billing systems.
    • 2+ years of direct experience using financial forecasting software.

    Physical Requirements:

    • Prolonged periods of sitting at a desk and working on a computer.
    • Must be able to work onsite at the Fort Collins.
