    SUMMARY

    Under general supervision, this individual is responsible for duties of a clerical/accounting nature.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    Essential Duties and Responsibilities:

    • Process all utility invoices for payment
    • Process other miscellaneous invoices for payment
    • Review all invoices entered by Purchasing for accuracy
    • Prepare Sales Tax Reports and Reconciliations
    • Prepare all invoices for Bi-Weekly Demand Check Run and Semi-Monthly Check Run, accordingly
    • Key miscellaneous Journal Entries
    • Review and Reconcile Bank Deposit Daily
    • Review Field Purchase Orders (FPOs) for accuracy and make adjustments as needed
    • Process Bi-Weekly Demand Check Runs and Semi-Monthly Check Runs
    • Other duties as needed
    • Receive and issue receipts on payments, prepare and disburse funds to designated parties, and audit and prepare vouchers for payment.
    • Enter pertinent information into database such as billings, notices, records, invoices, or payments. Verify entered data.
    • Compile, assemble, tabulate and prepare summaries of statistical data.
    • Check fiscal documents for completeness, accuracy, and procedural correctness. Balance and prepare bank deposits.
    • Provide account information by phone or in person to customers with courtesy and promptness.
    • General clerical duties such as typing, sorting mail, preparing correspondence, answering phones, and directing calls.
    • Perform any other assigned duties

    This position has no supervisory responsibilities.

    QUALIFICATIONS

    • Good knowledge of bookkeeping and accounting practices and procedures. Good general computer knowledge.
    • Ability to communicate effectively through oral and written methods. Regular prompt attendance is an essential function of this position.
    • The ability to get along and promote a harmonious working environment with vendors, supervisors, citizens, and co-workers is an essential function of this position.

    EDUCATION and/or EXPERJENCE

    High school diploma or general education degree (GED) required. One to three months related experience and/or training preferred; or equivalent combination of education and experience.

    LANGUAGE SKILLS

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

    MATHEMATICAL SKILLS

    Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages , area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    CERTIFICATES, LICENSES, REGISTRATIONS

    Must possess a valid Louisiana Driver's License.

    PHYSICAL DEMANDS

    While performing the duties of this job, the employee is regularly required to sit; use hands to finger, hand le, or feel; and talk or hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand and walk. The employee must regularly lift and/or move up to 10 pounds.
