We are seeking a motivated and detail-oriented Accounting Administrative Assistant to join our finance team. The ideal candidate will play a crucial role in maintaining our financial records and ensuring accuracy in all accounting functions. This position requires strong organizational skills, attention to detail, and a basic understanding of accounting principles.
Key Responsibilities & Expectations
- Accounting-related administrative work
- New client tax setup (State Unemployment, State Withholding, registration & account closure forms, setup in PrismHR software)
- Monthly / Quarterly / Annual tax return admin duties such as preparing mailings, but not actual tax return preparation
- Effectively communicate with state tax agencies and internal teams to setup accounts and resolve tax-related discrepancies or issues.
- Respond promptly and efficiently to inquiries and requests from internal and external stakeholders, such as Accounting and Payroll departments, along with clients and employees, regarding state payroll taxes.
- Maintain a high level of data confidentiality while handling sensitive information related to employee payroll taxes.
- Assist with any special projects, reconciliations, or other accounting-related tasks as required.
Qualifications & Requirements
- High school diploma; Associates or Bachelor's degree in a related field preferred
- Previous accounting or bookkeeping experience in a professional setting preferred
- Excellent oral and written communication skills with high level of professionalism and patience, and a positive customer-oriented approach
- Ability to multi-task and problem solve in a fast-paced office environment
- Proficient in Outlook, Excel, and Word
- Ability to handle tasks with accuracy, attention to detail, and within strict deadlines.
- A high level of integrity, reliability, and confidentiality.
- Ability to work independently
- Ability to sit for long period
- Must pass background check, credit check, and drug screen
