    ** Accounting Administrator**

    We are seeking an Accounting Administrator for our San Bernardino, California, Office. This person will assist in ensuring that the company receives payment for services provided to clients, manages our project database, and assists the Director of Finance with routine accounting tasks.

    We are looking for a driven and organized individual who has excellent communication skills, experience with invoicing in the AEC industry, and general accounting experience. We stress customer service and are looking for someone who prides themselves on their ability to interact and communicate with everybody involved

    ** Supervisory Responsibilities:** None

    _ Duties/Responsibilities_

    • Prepares, posts, verifies, and records client payments and transactions related to accounts receivable.
    • Creates invoices according to company policy; submits invoices to clients.
    • Maintains and updates client files, including name or address changes, mergers, or mailing attentions.
    • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
    • Creates and presents internal reports regarding the current status of client accounts on a monthly basis
    • Researches client invoice discrepancies
    • Assists the Director of Finance with reconciling accounts receivable on a periodic (at least monthly) basis.
    • Generates monthly billing statements
    • Copies, files, and retrieves materials as needed for the Accounting Department
    • Relays changes of information to appropriate employees.
    • Manages project accounts in the project database
    • Assists Director of Finance with year-end tasks and tax preparation
    • Performs other related duties as assigned

    ** Required Skills/ Abilities**

    • Excellent verbal and written communication skills.
    • Proficient in Microsoft Office Suite or related software as well as other accounting software programs such as QuickBooks
    • Ability to work independently and in a fast-paced environment.
    • Ability to anticipate work needs and interact professionally with clients.
    • Excellent organizational skills and attention to detail.

    Desired Skills/ Abilities

    • Experience with the database software, Ajera
    • 3+ years of related experience in the AEC industry

    ** Education and Experience**

    • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting preferred.
    • At least two years of related experience required.

    ** Physical Requirements**

    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.

    Salary Range

    • $25 - $35 per hour ($52,000 - $72,800 yearly)
