    Job Description

    POSITION SUMMARY

    The Accounting Clerk supports the finance department by performing essential accounting and administrative tasks, ensuring the accuracy and efficiency of financial records. This role assists with accounts payable, accounts receivable, data entry, reconciliations, administrative duties and other financial duties to support the mission of Feeding San Diego in serving the community.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Accounts Payable & Receivable

    • Process invoices, payments, and reimbursements in a timely and accurate manner.
    • Verify and match purchase orders, receipts, and invoices for approval.
    • Maintain vendor records and respond to inquiries regarding payments.
    • Assist in processing donations and grant funding, ensuring accurate donor and grant tracking.
    • Generate and send invoices as needed.

    Bank & General Ledger Reconciliation

    • Assist in reconciling bank accounts, credit card transactions, and petty cash.
    • Record and track transactions in accounting software, ensuring accuracy.
    • Assist in the preparation of journal entries and monthly financial close activities.

    Financial Reporting & Recordkeeping

    • Maintain organized records of financial transactions, ensuring compliance with policies and regulations.
    • Assist in preparing reports for grants, audits, and financial analysis.
    • Support the finance team in compiling data for financial statements and audits.

    Administrative Support

    • Document Management: Maintain and organize financial documents, including invoices, receipts, contracts, and donation records, ensuring accessibility and compliance.
    • **Vendor & Donor Correspondence: **Communicate with vendors, donors, and other stakeholders to resolve payment, invoicing, and financial documentation issues.
    • **Policy & Procedure Compliance: **Ensure adherence to financial policies, internal controls, and nonprofit accounting regulations.
    • **Office & Finance Team Support: **Provide administrative support to the finance department, including scheduling meetings, preparing reports, and handling internal inquiries.
    • **Supply & Resource Management: **Assist with ordering and tracking office and accounting supplies as needed.
    • **Data Entry & System Updates: **Accurately input and update information in accounting systems.
    • Bank Deposit Preparation: Pick up mail daily from the post office. Prepare bank deposits and verifying incoming funds, ensuring proper allocation in financial records.

    INTERACTION

    The position will interact closely with FSD employees, visitors, neighbors, volunteers, donors, and partner representatives. This position will also interact with all staff at Feeding San Diego.

    Qualifications

    EDUCATION/YEARS EXPERIENCE

    • Associate degree in Accounting, Finance, or a related field preferred, or equivalent experience.
    • 1–3 years of experience in bookkeeping, accounting, or a similar role.
    • Proficiency in AQ2 & CERES 6 or other similar software and Microsoft Office Suite (Excel, Word, Outlook).

    KNOWLEDGE, SKILLS AND ABILITIES

    • Strong attention to detail and accuracy in data entry and financial transactions.
    • Ability to work independently, manage multiple tasks, and meet deadlines.
    • Excellent communication and problem-solving skills.
    • Experience working in a nonprofit or food bank environment is a plus.

    TOOLS AND EQUIPMENT USED

    Personal computer, phone & Adobe Creative Suite subscription, copier, and printer.

    LICENSES/CERTIFICATIONS

    Must have reliable transportation and possess and maintain a valid California driver’s license, a satisfactory driving record, including proof of personal vehicle insurance coverage and insurability under the Agency’s insurance carrier standards.

    PHYSICAL, MENTAL AND ENVIRONMENTAL REQUIREMENTS

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to:

    • Work in an office adjacent to a warehouse setting with occasional travel to other locations in San Diego County including daily drive to the Post Office.
    • Ability to sit for extended periods and use a computer.
    • May require occasional lifting of up to 30 lbs.
    • Prioritizes and multi-task work and projects requiring good memory, concentration, and analytical thinking.
    • Occasionally it is required to perform the safe operation of office equipment and machines and recognize and abate safety hazards within the workplace.
    • The noise level in the work environment is usually quiet but this office is maintained in a distribution center with machinery and large trucks.

    PAY & HOURS

    Pay Range: $22- $27

    Status: Full-Time, Non-Exempt

    Work Hours/Location: In-Office, Monday to Friday
