    We are seeking a highly organized and detail-oriented individual to join our team as an Accounting/ Administrative Assistant. This role provides essential support across multiple departments, managing a variety of accounting and administrative tasks. Key responsibilities include:

    · Accounting functions, such as accounts payable, processing receivable invoices, and corporate credit card transactions, sales and use tax, fixed assets and prepaids.

    · Office administration, including front desk operations, visitor reception, facility management, and event coordination.

    A successful candidate should have at least three years of accounting experience and proficiency in Microsoft Excel. Strong communication and organizational skills, along with a friendly and professional demeanor, are essential.     Primary Responsibilities

    Accounting duties:

    · Manage general and administrative budgets, ensuring accurate and timely reporting.

    · Process accounts payable, including timely and accurate invoice payments, and obtain W-9s as needed

    · Organize, reconcile, and process corporate and Ramp credit card transactions.

    · Calculate and report multi-state Sales & Use Tax.

    · Manage fixed assets.

    · Handle prepaid expenses.

    · Make general ledger entries.

    · Work with the accounting department to maintain proper expense controls.

    Administrative duties:

    · Greet and welcome visitors, ensuring a friendly and professional experience.

    · Manage phone calls, emails, and correspondence.

    · Maintain a clean, organized, and efficient office environment.

    · Monitor office supply inventory and place orders.

    · Coordinate and execute in-house and office events, including weekly, monthly, and annual gatherings.

    · Manage office supplies vendor relationships, office service contracts, and facility-related needs.

    · Provide administrative support across various departments.

    · Schedule meetings and prepare relevant materials.

    · Oversee record retention and assist in document management.

    · Organize and prepare the annual employee service award program.

    · Handle special projects as requested by management.

    Minimum Requirements

    · 3+ years of accounting experience.

    · 3+ years of office administration or similar experience.

    · Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

    · Strong attention to detail and problem-solving skills.

    · Proven ability to handle confidential information and share it appropriately with people inside and outside the organization.

    · Excellent organizational, time management, and multitasking abilities.

    · Strong verbal and written communication skills.

    · Ability to self-manage and prioritize tasks.

    · Professional and friendly demeanor.
