    Must be located in Houston, TX

    Our firm, located in the Spring Branch area of Houston, primarily sells products to government customers through various contract awards and/or online selling platforms. The Accounting & Operations Associate reports administratively to the Director of Operations and works closely with other Accounting Team Members to manage workflow for three different business divisions.

    ESSENTIAL FUNCTIONS

    Manage the process for importing orders from various government purchase order portals into our ERP system

    Record cash deposits and apply to open A/R invoices

    Assist with weekly Accounts Payable for ~30-50 vendors

    Daily bank reconciliation

    Process vendor bills from purchase order through payable state in ERP

    Monitor multiple email accounts to identify vendor invoices and other correspondence, match to applicable purchase orders

    Review daily charges on the Company’s procurement cards and match to the applicable purchase order/sales order to ensure charges are allocated to the correct sales order in the accounting system

    Review Net 30 vendor statements for any missing bills and handle vendor inquiries

    Help resolve vendor bill discrepancies and pursue refund of sales taxes charged in error; pursue vendor refunds through to resolution

    Assist Sales Operations team with expediting status of open purchases with vendors

    Assist with customer billing and collections cycle:

    Convert completed sales orders to invoices

    Bill customer using correct payment method (credit card, vendor portal, Net 30, etc.)

    Ensure open invoices are collected, follow-up with customers, as needed

    Update order portals with tracking information for orders in a timely manner

    Help maintain (update) sales tax exemption documentation in ERP as needed

    Help maintain (update) vendor and customer information in ERP as needed

    Assist with monthly sales tax filings for multiple jurisdictions

    Other administrative projects as directed by Company’s Director of Operations

    EXPERIENCE NEEDED

    Admin, A/R, A/P, and General Accounting Experience with a Manufacturer/Distributor

    Excel skills: advanced formula usage, data sorting and filtering, conditional formatting

    Sage Intacct experience a plus

    SKILLS NEEDED TO BE SUCCESSFUL IN THIS ROLE

    Detail-oriented and analytical thinking

    Able to follow consistent processes and manage multiple assignments

    Professional written and verbal communication skills
