    Accounting & Operations Specialist - Your Job Duties:

    You are integral in keeping our daily accounting and office operations running smoothly and support some operational duties that keep the office running smoothly. You will:

    Accounting

    • Daily monitoring of cash balances and provide daily cash report to owner
    • Perform daily accounting bookkeeping using QuickBooks, including weekly accounts payable processing, online payment processing, weekly check run, billing and collections
    • Perform accounts receivable follow ups and calls for collections (weekly)
    • Monthly bank statement reconciliations
    • Preparation of monthly financial statements (profit and loss and balance sheet) and quarterly reporting of financial statements to third parties
    • Process payroll using third-party payroll company (bi-weekly)
    • Work directly with third-party CPA firm to provide documents and information for annual financial statement review and tax return filings

    Operations

    • Assist with inventory control, working in collaboration with warehouse to ensure timely and accurate deliveries of inventory and accurate inventory record keeping
    • Assist with HR functions including onboarding, terminations and process off-system payrolls as needed
    • Assist with customer and vendor inquiries and troubleshooting to ensure a positive customer experience
    • Support the office with ad-hoc projects that keep the operations running smoothly

    Accounting & Operations Specialist – You Have (Required Skills and Experience):

    • You enjoy working in a small office where you wear many hats and are very busy – accounting, answering the phone, logistics and whatever else is necessary, without ego – you are working in a small business where priorities may shift, everyone wears a lot of hats and flexibility and teamwork is needed
    • Experience with QuickBooks accounting software
    • Prior experience and understanding of bookkeeping – Accounts Payable, Accounts Receivable, full cycle accounting and bank reconciliations
    • You are excited to step into a role with limited documented policies and procedures and document them – help us make our office better!
    • Comfortable with working in MS Office Suite (primarily MS Excel and MS Outlook)
    • You are an attention to detail master – you are one step ahead, nothing slips through the cracks
    • Able to work in office in Vacaville 5 days a week (Monday – Friday), start and stop time flexible

    Accounting & Operations Specialist – You Might Have (Desired, Not Required):

    • Prior experience with processing bi-weekly payroll (in house or third party)
    • Prior experience with inventory or cost accounting

    Accounting & Operations Specialist – For You:

    This role is based in office in Vacaville, California, Monday through Friday.

    Your compensation is $75,000 to $90,000.
